Position Summary
Responsible for administrative support of Company assets and oversight of repair facilities that are responsible for the preventive maintenance and repair of the fleet. Responsible for monitoring all aspects of vehicle maintenance including service, maintenance, and repair. Responsible for adherence to OSHA, EPA, and DOT compliance.
Essential Functions
Models, leads, and advocates the Jones Companies' core values; seeks ways to integrate values in business dealings and strategies; protects the company's reputation.
Maintain fleet records in accordance with DOT regulations.
Maintains an on-going preventive maintenance program for all Departments.
Maintain schedule, and communicate preventative maintenance and inspection schedules to necessary Department managers and insure completion of each unit due before it reaches overdue status.
Monitor outside repair facilities to ensure that all repairs and maintenance to Department assets are performed in compliance with the Company's safety and maintenance standards, and in compliance with all federal and state regulations.
Issue Purchase Orders (P.O.) to vendors in accordance with approved monetary limits, or prepare P.O. information, including assessment of repairs or service, for management approval.
Identifies trends in road calls and break downs and communicate that to the Director of Maintenance.
Set up and maintain vendor files, including contact information.
M aintain and update all equipment files as needed .
Reports to the managers on third party shop performance and assists with implementing procedure or programmatic changes for improvement in efficiency.
Controls maintenance costs relating to parts purchasing and outsourcing of repairs.
Manages related administrative matters, including ensuring the appropriate recording of all information into our Maintenance Software, maintains the budget, set departmental goals to align with the targets and performance objectives established by the division's Senior Management.
Education / Experience
High School Diploma or GED.
Clerical Experience and Knowledge of General Record Keeping.
Maintenance or trucking knowledge is a plus, but not required.
Skills / Knowledge
Excellent written and verbal communication skills.
Proficient in computer skills; Microsoft Office and data entry.
Ability to anticipate business needs and plan accordingly to ensure that equipment and fiscal resources are utilized in the most efficient manner.
High level of analytical skill to develop a range of possible solutions to address a wide range of issues.
Ability to understand financial terms, budgets, tables and reports.
Ability to develop realistic, comprehensive plans to make efficient use of resources.
Demonstrate ability to set priorities and meet deadlines.
Ability to build effective relationships.
Ability to work as part of a team as well as multi-task and work independently.
Excellent customer service skills with experience in dealing with vendors and internal employees.
Ability to maintain confidential information
Must be able to handle a high volume of phone calls, and take calls that may occur after normal business hours.
