Principal Duties and Accountabilities


  • Act as a representative of the company by answering customers' inquiries, proactively resolving issues, anticipating needs and identifying potential risks for internal and external customers.

  • Develop and maintain a working knowledge of domestic and international intellectual property office rules and procedures.

  • Process incoming and outgoing domestic and international communications in docketing databases.

  • Maintain customer docket and run reports as appropriate and correspond internally and externally regarding deadlines and status of applications.

  • Create and maintain files within a database that documents prosecution history for an intellectual property matter, including unfiled matters, file intakes and file transfers.

  • May prepare and review incoming documents for scanning.

  • Prepare documents for signature and collaborate with customer contacts to fulfil requirements of various patent offices as requested, including but not limited to: Intellectual Property applications (domestic and international), Information Disclosure Statements (IDS), formalized priority claims, formal documents such as ADS, Power of Attorney, PCT forms and other forms as needed.

  • Review office actions and other communications from patent offices and prepare preliminary drafts of responses as requested and Information Disclosure Statements when applicable.

  • Routinely review and file prosecution related documents with the USPTO for all stages of prosecution. Also coordinate and facilitate timely instructions to foreign agents in order to meet deadlines for non-US patent or trademark prosecution deadlines.

  • Calculate estimates of filing costs in collaboration with management.

  • Obtain copies of patents and articles for IDS per customer's instructions.

  • Manage physical documents on behalf of customers as per their directions including but not limited to filing of incoming documents and retrieving and sending requested documents to customers.

  • Remain accountable for work product by performing ongoing self and peer reviews.

  • Assist in development and maintenance of up-to-date customer-specific processes and procedures.

  • Document and track daily work and provide corresponding data to management.

  • Follow the out of office procedures and advise management of outstanding work; serve as backup to team members.

  • Other duties as assigned.

Key Skills and Experience


  • Associates degree and two+ years of experience in Intellectual Property, an office or customer service, or equivalent combination of education and experience.

  • Preference for a paralegal certification but not essential

  • Able to utilize a computer and navigate through essential software and applications in order to attain successful job performance; proficiency in MS Office suite preferred.

  • Strong interpersonal, written and verbal communication skills.

  • Communicate effectively at a professional level, written and verbally, to internal and external parties both domestic and international.

  • Strong customer service skills.

  • Must be able to work effectively alone as well as within a team.

  • Strong organizational, time management and prioritization skills.

  • Able to thrive under pressure in a fast-paced, deadline-driven, team environment.

  • Able to learn new systems and tasks quickly with a positive attitude towards change.
