Duties, Responsibilities & Other
Tasks will include assisting Practice Leaders and Project Managers with day to day document control and tracking contracts using excel spread sheets. In addition, candidate will become familiar with technical documents associated with projects and proposals and support managers with progress reports and task order preparation. Will also assist with entry of expense reports, scheduling meetings, client contact, printing and photocopying, book travel, coordinate and order office supplies, draft correspondence, take meeting minutes, keep files accessible and organized, perform spreadsheet data entry and help plan office activities.
Prepare contractual documents such as teaming agreements and subcontracts; track subconsultant usage and subcontracting goals, monitor insurance requirements, coordinate with service vendors. Assist with review and preparation of invoices. Archiving and cataloging of project documents and correspondence. Packaging and mailing of documents via USPS, FedEx, etc.
Assist co-workers in coordinating with other KCI groups such as fleet management, safety, procurement, finance, IT, HR. Will become familiar with KCI clients and contract requirements. Will assist project managers with correspondence and applications to outside agencies. Will help track and schedule required staff training. Must have strong organizational and multi-tasking skills.
Must have valid driver's license and reliable transportation. Office dress is business casual. Must have reliable transportation and be available to work standard office hours from 8 am to 5 pm with overtime as required.
Five years of experience, preferably in the A/E/C industry. CAP preferred but not required. Successful candidate will show a high degree of initiative, be inquisitive, and be a self-starter that can accurately and efficiently complete assigned and evident tasks with minimal oversight following training.
Must have strong interpersonal communication, technical writing, and time management skills. Candidate should possess a working knowledge of the Microsoft Office suite with proficiency in Word and Excel.
Qualifications
High school diploma is required; bachelor's degree preferred.
Pre-employment drug screening is a condition of employment. Background and motor vehicle checks may be required based upon position.

Complete Annual Individual Training Program
Train adequate backup personnel to support your role in your absence
Attend monthly town hall meetings
Comply with all KCI policies and procedures
Comply with ISO requirements
Coordinate administrative work

Represent KCI in a positive and open manner and serve as a gatekeeper for your direct supervisor

Answer telephones with KCI greeting for assigned projects and handle routine requests

Assist project staff with scheduling and reporting
Assist project staff with time entry, expense reports, and mileage
Assist with calendar and scheduling meetings as required

Implement office administrator duties by the office manager as required
