Exempt position, annual salary $44,000 - $47,000

Position Summary

Under supervision of the department administrator and chair, the program administrator for History is responsible for all front office functions and serves as the department's problem-solving point person for a variety of matters. S/he also supports department faculty and serves as the face of the department to all visitors. S/he coordinates many of the administrative functions for the department, its faculty and special events activities, and maintains the department website. The program administrator interacts on a daily basis with faculty, students, visitors, other university staff, and various individuals and organizations outside Rice University.

The program administrator provides support to the directors of undergraduate studies and assists the department administrator and department chair with tasks that include, but are not limited to: the department's General Announcements, course offerings and course schedules. The program administrator is also the coordinator for Medieval and Early Modern Studies Program and the Program in Ancient Mediterranean Civilizations.

Ideal candidates should have strong verbal and written communication skills, basic knowledge of managing budgets, the ability to work well under pressure and manage multiple projects simultaneously.

Essential Functions


  • Administers the daily operations of assigned program(s) with general guidance by the chair and a senior staff member
  • Conducts research, analyzes data, identifies trends and develops reports
  • May assist department administrator to monitor project budgets and the development of longer terms budget plans
  • Recommends and implements outreach plans, including communications, events, marketing, conferences, etc.
  • Plans and coordinates logistical aspects of recruitment activities
  • Provides support to faculty, staff and students as related to the program(s)
  • Assists with student recruitment, student records, curriculum support, coordinating the accreditation process
  • Manages space assignments and building access
  • Updates and maintains departmental website and social media accounts
  • Performs all other duties as assigned

Additional Functions / Information

  • Processes faculty reimbursements
  • Processes travel reimbursements and honoraria for guest speakers
  • Supervises student assistants

Required Qualifications

  • Bachelor's Degree
  • 1 year of related professional experience (not as a student or volunteer) in office administration and event planning and execution.
  • May substitute additional related experience, above and beyond what is required, on an equivalent year for year basis in lieu of the education requirement.

Preferred Qualifications

  • Rice University experience
  • Experience working in Rice University systems, such as iO Expense and P2P modules, Esther and CourseLeaf
