JOB PURPOSE


The Employee Care Associate is responsible for maintaining and updating various COVID related records. This position will serve as a resource to employees regarding general processes, contact tracing, and general COVID questions. The position will also conduct daily outreach (email, call, text) to exposed employees, and assist with internal communications (RAVEs) regarding COVID and employee wellness. The Employee Care Associate must be able to adhere to all company policies, follow HIPAA requirements, and maintain strict confidentiality regarding personal and medical information. The Employee Care Associate must keep current on best practices related to COVID prevention and management as well as company policies.



RESPONSIBILITIES & TASKS



  • Handle inbound and outbound calls in a timely, and professional manner

  • Answer questions surrounding COVID, general process, protocols, contact tracing, and leave

  • Interact with employees (frontline and managers) via phone, text, and e-mail in response to COVID related leaves, work absences, testing, contact tracing and return to work protocols

  • Compile, maintain, and file records, exclusion and quarantine orders, logs (vaccination, contact tracing, testing) and other documents as required

  • Record accurate data and information from the calls, route information to appropriate staff members

  • Collaborate closely with HR and the Nurse Care Manager to accurately perform contact tracing protocols

  • Gather, summarize, and report on COVID-19 related issues and leaves.

  • Enter medical time off (MTO) for COVID related illness in accordance with company policies

  • Monitor quarantine timelines and provide return to work statuses

  • Support the Nurse Care Manager in COVID related administrative task such as employee notifications, COVID testing, employee wellness events, additional record keeping, etc.

  • Research EV5 systems to find missing information as applicable; coordinate with other departments to resolve issues as applicable

  • Comply with requirements surrounding confidential information and personal information

  • Work within established policies and procedures

  • Assist with event planning

  • Schedule appointments for the Nurse Care Manager

  • Record data in excel and update pivot tables

  • Uses clear and effective communications with minimal supervision

EDUCATION & EXPERIENCE



  • High school diploma required, and some college preferred with course work related to health care, business administration, or other related field.

  • Work experience in a health care setting, office management, business administration or other related field in a high volume, fast-paced work environment while influencing others, applying sound judgment and non-bias to situations, interviewing, and assessing people, and building relationships is preferred.

  • Technologically savvy with experience working with Microsoft Office suite, especially Excel Experience working in Excel with formula functions, formatting, and pivot tables.

  • Scheduling and event planning experience preferred.

  • Bilingual; English and Spanish is preferred
