JOB FUNCTION / SUMMARY:
This position is primarily responsible for administrative and sales support activities for the specified department.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Performs a wide variety of administrative and support services in support of department activities.
Prepares reports and packets and distributes information for all board or committee meetings
Files all up-dates accurately to regulatory and policy manuals for the department's research library
Processes and distributes department mailings
Locates and attaches appropriate file to correspondence to be answered by employer
Prepares outgoing mail and correspondence, including e-mail and faxes
Coordinates and arranges any seminars and meetings: prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings
Keeps vacation, holiday and absentee records (and any other required) for all staff in the department
Organizes and maintains file system, and files correspondence and other records. Keeps up-to-date contact and mailing lists, labels and other information as directed
Answers and screens manager's telephone calls and arranges conference calls. Answers phone extensions when other department officers are unavailable
Coordinates manager's schedule and makes appointments
Greets scheduled visitors and conducts to appropriate area or person
Conducts research and compiles and types statistical reports
Makes copies of correspondence or other printed materials
Arranges and coordinates travel schedules and reservations
Assists in other administrative activities as required by department manager
Orders and maintains supplies, and arranges for equipment maintenance
Prepare ad hoc reports for management and handles other special requests.
High School Diploma or GED required, Associate's Degree preferred
3+ years of experience in an administrative support role
Proficient with Microsoft Office applications
Detail orientated with strong organizational skills
Ability to work with minimum supervision
ESSENTIAL MENTAL & PHYSICAL REQUIREMENTS:
Ability to work under stress and meet deadlines
Ability to operate a keyboard if required to perform the essential job functions
Ability to read and interpret a document if required to perform the essential job functions
Ability to travel if required to perform the essential job functions
Ability to lift/move/carry approximately 20 pounds if required to perform the essential job functions. If the employee is unable to lift/move/carry this weight and can be accommodated without causing the department/division an "undue hardship" then the employee must be accommodated; hence omitting lifting/moving/carrying as a physical requirement.
