The Patient Care Coordinator is the first point of contact to patients or visitors in person or by phone. This position plays a key role in maintaining a high level of patient satisfaction by providing exceptional customer service.

DAILY DUTIES:


  • Provide excellent customer service and serves as the first point of contact to patients or visitors in person or by phone

  • Navigate multiple and complex data systems to research and/or record pertinent information in compliance with policies

  • Operate multi-line telephone system; routes calls and responds to general inquiries

  • Register patients; updates demographic and insurance information

  • Make patient appointments and monitors appointment schedules daily

  • Reviews charts and adjusts daily provider schedules to ensure accuracy in scheduling and visit preparedness

  • Perform day-to-day administrative functions and general office duties including, but not limited to, word processing, copying, filing, faxing, answering phones, and data entry

  • When scheduling appointments, always verify patient information current and correct. If changes are made, inform patients of any documentation that will be required at their next visit

  • Adhere to all clinic policies on safety and security by maintaining restricted areas, safeguarding key-less entry codes and computer system passwords with strict confidentiality

  • Practices confidentiality and privacy protocols in accordance with Clinic policies and HIPAA requirements

  • Maintain organization in patient waiting areas, office files, and at the reception desk

  • Inform patients of any existing balances noted in the daily email from the Billing Department or noted in computer and request patient payment

  • Call patients daily to confirm the next day's appointments

  • Verify method of payment (insurance or cash pay) is correct in EHR and updated if incorrect. Collect payment as appropriate

  • Exercise problem-solving and conflict resolution skills when handling patient complaints and direct to appropriate designated office personnel as needed

  • Attend scheduled department and clinical meetings

  • Perform all duties and services in full compliance with OnePeak Medical's Employee Handbook

  • Perform all duties to support successful EHR/EPM maintenance and implementation

  • Perform End of Day Responsibilities

  • Flexibility to attend out of town training necessary for the position

  • Cover the laboratory, draw blood, give injections and fill in for medical assistants as needed (based on skills and training)

EDUCATION AND EXPERIENCE:


  • High school diploma or equivalent, required

  • 6 months customer service experience, required

  • 6 months front desk reception or scheduling experience in a medical office, strongly preferred

  • Prior EMR/EHR experience, strongly preferred

  • Proficient in Microsoft Office Suite, strongly preferred

  • Computer/Tech Savvy, strongly preferred

  • Medical billing & insurance payor knowledge and experience with Medicare, Medicaid, Private Insurance and Managed Care Programs, strongly preferred

  • Certification in phlebotomy, preferred

  • CMA certification, preferred
