Job Description:




Contract Processing Coordinator
The Contract Processing Coordinator
role is part of the Contracting Department and works in conjunction with the
Director of Contracting and Contract Specialists. The Processing Coordinator is
responsible for processing various forms and paperwork related to client
contracts. The position serves as the primary point of administrative contact
between the Contracting, Operations and Accounting departments. The work
completed by the Processing Coordinator requires attention to detail, analytic
thought, and timeliness. This position requires a great deal of independent
judgment and discretion regarding matters of significance. The work is
repetitive in nature, both daily and monthly, but is critical to the revenue and
financial impact of the associated contracts.




Responsibilities

Process various contract related forms and paperwork (i.e., USPS PS Forms 5500, 5397 and 5466)
Research needed information to ensure accurate invoice amounts
Simultaneously utilize multiple internal and external systems for invoicing
Research to validate or refute information provided on the various contract forms
Utilize multiple internal systems for data and information including GPS, ping (breadcrumbs), driver logs (HOS) and transportation software for research



Manage variable workload to ensure client established deadlines are met



Build positive relationships with clients



Ensure soft copy documentation and shared department files are maintained timely and accurately
Track repetitive service failure information to provide feedback loop to Operations management
Log data into internal system for Operations review and service tracking
Notify Terminal Managers of significant service issues
Assist with ad hoc data gathering and project management
Work collaboratively with other internal departments
Contribute to the overall workload to accomplish business and department goals
Communicate respectfully and build positive work relationships within and outside of the Contracting department



Education

High School diploma or general education degree
Two plus years of research and/or clerical data entry



Knowledge
Demonstrated knowledge of systems processing and information research
Strong knowledge of Microsoft software including Word, Excel, and Outlook
Excellent analytical, reasoning, and problem-solving skills
Attention to detail and willingness to research, identify and challenge discrepancies
Ability to work independently
Ability to adhere to productivity goals and measures
Ability to work under tight deadlines with high customer expectations for accuracy and responsiveness
Excellent communication skills and willingness to assist others within the department
High level of organizational skills



Required Skills

Prior work for a logistics company
Prior work with the United States Postal Service (USPS)
Knowledge of interpreting GPS tracking information
Understanding driver electronic log data
