This core job function for this position is to support assigned attorney(s) in the office on all aspects of litigation files that are assigned to the attorney/paralegal team. The Paralegal must be able to work well independently, but with supervision and direction from the responsible attorney(s). The Paralegal will perform certain case-handling tasks such as preparing discovery demands and responses, drafting basic motions and pleadings, keeping files organized and up-to-date, handling and organizing case-related documents, assisting in the preparation for trials/ hearings/mediations/depositions, managing and reviewing calendars and performing some administrative tasks such as scheduling.
MAJOR DUTIES/RESPONSIBILITIES OF THE JOB:
Obtain relevant file materials from client/claims necessary in defense of claim or charge.
Drive discovery process (draft & serve discovery demands and responses with direction and guidance of attorneys/senior paralegals).
Upon review and analysis of file, draft requests/subpoena list to medical records service providers and monitor vendor for responses. Pull responses into ProLaw and update medical chronologies.
Follow up with clients and adversaries on discovery demands, responses and court orders to make sure deadlines are met.
Develop familiarity with Adobe Pro/Logikcull/Kiteworks/DocuSign systems for document management, control and production.
Draft reports to claims/clients summarizing discovery responses and summarizing medical and other subpoenaed records for attorney review. Highlight relevant facts or medical conditions (pre-existing conditions).
Develop knowledge of court rules/procedures on e-filing.
Coordinate with vendors for requests of medical records from providers and follow-up where necessary.
Coordinate independent medical examinations and/or record reviews so that they are conducted timely upon receipt of all applicable authorizations/records.
Ensure all data and deadlines are entered in Prolaw accurately and updated regularly.
Demonstrate proficiency in time management, prioritization, organizational, and communication skills.
Review ProLaw dashboard daily to ensure deadlines are met by attorney/paralegal. Ensure reminders are completed and marked done.
Assist with hearing/deposition/trial preparation. Assist in preparation of hearing/ deposition binders and submissions to court/draft orders.
Understand and abide by ethical/confidentiality rules.
Share information and work as a team with your colleagues and assist as needed.
Provide the highest level of service by working as a team, including answering phones, greeting visitors, entering mail, scanning mail and filing identified documents in their appropriate event classes in Prolaw.
Ensure all sensitive documents that contain personally identifiable information are password protected. Maintain client confidentiality.
Meet firm billing requirements.
KNOWLEDGE AND SKILLS:
Proficiency in MS Office software platforms (including Word, Excel, PowerPoint & Outlook), Adobe Pro/Logikcull/Kiteworks/DocuSign;
Knowledge of ESI tools;
Possess strong time-management, organizational and communication skills;
Ability to learn Prolaw and HotDocs platforms;
EXPERIENCE AND EDUCATION:
Prior paralegal experience preferred.
A Bachelor or Associates degree or certificate of completion from a recognized paralegal training program is preferred but is not required.
