Office Manager - Specialty Banking

JOB SUMMARY:

Responsible for working alongside senior management and accepting delegated responsibilities and duties.  Assists with the daily administration, operations, and initiatives conducted by the President, Specialty Banking, Deposits & Treasury Management.  Responsible for independently handling a wide range of executive support related tasks with little or no supervision.  Interacts with staff at all levels in a fast paced environment, remaining flexible, proactive, resourceful and efficient with a high level of professionalism. Performs all duties in accordance with the company’s policies and procedures, all U.S. state and federal laws and regulations, wherein the company operates.

ESSENTIAL DUTIES AND RESPONSIBILITIES:


  1. Provides leadership, training and supervision; delegates day to day operations to the appropriate personnel.  Helps with personnel issues and maintains records/logs as directed by the EVP.

  2. Works with EVP to prioritize, plan and execute the work needed for the department.

  3. Keeps abreast of changes in policies, standards and regulations applicable to the company.

  4. Carries out responsibilities by handling logistics for the EVP in regards to assigned projects, preparing reports and presentations, and attending and planning meetings and events as an associate of the Bank.

  5. Develops strong working relationships and superior communication skills with all levels of the organization; particularly the Executive team.

  6. Gathers and coordinates data for Executive Team and other Committee meetings; prepares agendas; organizes special meetings and events; maintains attendance records; and prepares and distributes meeting minutes.

  7. Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers, and controlling event budgets.

  8. Performs complex and confidential administrative functions including developing written correspondence. Responds to routine external correspondence. Types memos, purchase requisitions, payment requests, and other department forms and documents.

  9. Interacts with various business units and support functions across the enterprise.

  10. Treats people with respect; keeps commitments; inspires the trust of others; works ethically and with integrity; upholds organizational values; accepts responsibility for own actions.

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:


  • Demonstrates knowledge of, adherence to, monitoring and responsibility for compliance with state and federal regulations and laws as they pertain to this position including but not limited to the following: Regulation Z (Truth in Lending Act), Regulation B (Equal Credit Opportunity Act), Fair Housing Act (FHA), Home Mortgage Disclosure Act (HMDA), Real Estate Settlement Procedures Act (RESPA), Fair Credit Reporting Act (FCRA), Bank Secrecy Act (BSA) in conjunction with the USA PATRIOT Act, Anti-Money Laundering (AML) and Customer Information Program (CIP), Right to Financial Privacy Act (RFPA, state and federal) and Community Reinvestment Act (CRA).

  • Knowledge of banking operations preferred.

  • Advanced skills in computer terminal and personal computer operation; Microsoft Office applications including but not limited to: Word, Excel, PowerPoint and Outlook.

  • Intermediate math skills; calculate interest and percentages; balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; compute rate, ratio and percent, including the drafting and interpretation of bar graphs.

  • Effective organizational and time management skills.

  • Exceptional oral, written and interpersonal communication skills.

  • Ability to interact effectively with a wide range of staff throughout the company.

  • Ability to multi-task in a fast-paced environment and adapt quickly to change.

  • Ability to make informal and formal presentations, inside and outside the organization; speaking before assigned team or other groups as needed.

  • Ability to deal with complex difficult problems involving multiple facets and variables in non-standardized situations.

  • Ability to work with little to no supervision while performing duties.

  • Must be fully vaccinated for COVID-19 (i.e., at least 2 weeks after last dose) and, if hired, present proof of vaccination by start date.

EDUCATION, EXPERIENCE AND/OR LICENSES:


  • Bachelor’s Degree preferred.

  • Experience in mortgage, banking, financial services or related industry preferred.




Salary:

$95,000.00
