The Part-Time Receptionist will perform various office support functions which require an in-depth knowledge of assigned program areas. This position supports the Office of the President and has a dual reporting line with the President and Senior Executive Assistant to the Vice President of Finance and Administration.
Typical Job Functions
Represent the President's Suite to visitors in a positive and professional manner
Maintain confidentiality with any/all College communications both internal and external
Greet public and direct visitors to appropriate areas
Answer phones and transfer to appropriate departments
Perform a wide range of office support functions using independent judgment in applying existing policies and procedures to complete assignments
Respond to non-routine inquiries and explain department services, policies, procedures, and rationale for decisions to customers
Work closely with other receptionists and administrative assistants throughout the College
Perform office support duties such as composing correspondence; creating, reviewing, and processing documents and records; identifying and correcting errors and omissions on documents received from staff, departments and/or public; and maintaining records
May schedule appointments or services
Perform miscellaneous job-related duties as assigned
Experience using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving
Experience reviewing documents for compliance with established procedures
Ability to use a computer to enter and retrieve information
Experience answering a business telephone using knowledge of business telephone procedures and etiquette
Knowledge of the rules of effective business English usage including spelling, punctuation, and grammar
Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions.
