Staff Finance Administrative Assistant (Entry Level) at Environmental Resources Management Inc in Malvern, Pennsylvania

Job Description:

ERM is seeking a detail-oriented, thorough, and accurate Financial Administrative Assistant to join our consulting firm in Malvern, PA (hybrid/remote possibilities) . This position will assist the finance team in supporting the needs of the business. This includes providing support and data to financial business leaders and functional areas of the business. This is an excellent opportunity for an administrative professional looking to join a well-positioned global environmental leader in an exciting and growing industry.

RESPONSIBILITIES:


  • Develop presentations for financial leaders in Power Point.


  • Process authorizations for internal and external documents.


  • Manage data gathering and review of financial information for financial and tax reporting purposes.


  • Support process of documenting finance related policies.


  • Prepare annual corporate filings.


  • Request and organize legal documentation for multiple filings.


  • Gather foreign withholding tax certificates for tax support.


  • Assist with monthly intercompany reconciliations.


  • Set up new vendors and gather necessary tax documents.


  • Transition client overpayment reimbursements to electronic form.


  • Handle special projects as requested.


REQUIREMENTS:


  • Bachelor’s degree preferred, financial courses a plus.


  • Aptitude for numbers required.


  • Accounting knowledge a plus.


  • 4+ years of administrative experience in a fast-paced professional services organization while adapting to challenging deadlines and priorities.


  • Detail oriented with a strong work ethic while maintaining a high level of professionalism and discretion at all times.


  • Excellent communication skills (both verbal and written).


  • Strong computer skills including Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), Adobe, and strong familiarity with the internet and web based tools (e.g., Zoom).


  • Able to provide the highest level of customer service to both internal personnel and clients.


  • Highly motivated and flexible individual who can work independently as well as in a team.
