Sr Administrative Assistant

The Administrative Assistant is a key on-site support position within MSEI. The Administrative Assistant will be responsible to assist in managing the day to day operations of the different departments within the R&D organization. Work will include a variety of general office assignments as well as more specialized tasks supporting the Quality organization and the local Project Management Office.
This position handles details of a highly confidential and critical nature. It requires independence and a self-driven and pro-active work ethic in support of a fast-paced work environment. Besides high interaction with local colleagues, this visible position includes regular interactions with senior and executive management in the USA and corporate headquarters in Berlin, Germany

Your Responsibilities (essential functions noted by *)


  • Business Management

    • *Organize/assist with inside building infrastructure and set up
    • *Office supply inventory, purchasing, and organization
    • *Assist with other general purchasing activities
    • *Onboarding support
    • *Visitor coordination and management in close coordination with project management, local leadership, and assistants of visitors
    • Understanding of corporate policies and procedures involving the R&D business unit
    • Other responsibilities include participation within the organization. to build and improve on administration capability
  • Quality Organization

    • *Support personnel training efforts, including setup/configuration of trainings in MSEI's learning management system
    • *Data Management / Change Management tool support
    • *Design Assurance support with administering MSEI's standards management program and file indexing
  • Program Management Office

    • *Workshop planning/scheduling
    • *Project management software tool support
    • Tools inventory management
    • Prototype distribution and tracking
    • Management of consumables
  • Other duties may be assigned at the discretion of the manager

Your Profile

Required:


  • AS in Business Administration or other business-related field, BA - preferred
  • 5+ years' experience as an office manager or assistant; preferred in an R&D environment
  • Well-schooled in the application and use of computers including software tools, e.g. MS365, SAP, PLM

Preferred:

  • Excellence in organizational management with the ability to support high-performance teams and their strategic objectives
  • Strong communication skills including both verbal and writing skills.
  • Strong team player and individual contributor.
