Job Summary


The Marketing Assistant supports the Director of Marketing and Communications and Marketing Manager in planning and executing strategies and campaigns that drive ticket sales for performing arts events, attract visitors to visual arts exhibitions and events, and builds awareness of the Fine Arts Center on the UMass campus and across Western Massachusetts. The Marketing Assistant also generates purchase orders and works with the marketing team, the Fine Arts Center Business office, and vendor representatives to ensure timely processing and payment of invoices. Additionally, this position plans and coordinates events, assists with scheduling, and participates in the execution of intra-departmental communications.   




Essential Functions




  • Works within the UMass procurement system to ensure processing and payment of vendor invoices. Works with the Marketing Director to ensure invoices are accurate. Purchases supplies for the marketing team. Processes reimbursement of out-of-pocket expenses incurred by members of the marketing team.




  • Assists the Marketing Manager with the execution of organic social media strategy. Tasks may include building and scheduling social media posts and events, monitoring direct messaging within social platforms, uploading video and other content, and reporting back on key analytics.




  • Creates and maintains calendar listings for Fine Arts Center events and exhibitions utilizing calendar resources on the UMass campus, across the Five Colleges, and throughout the region.






  • Books tabling opportunities at Fine Arts Center partner events and open events across the community.




  • Coordinates regular communication between marketing and other Fine Arts Center departments. Assists in creating and scheduling outward-facing email communications for patrons and other external constituents.




  • Works with the Marketing Director and Marketing Manager to schedule meetings, and events, and to plan marketing events.




  • Assists with management/coordination of students working with the marketing and communications team.






Other Functions




  • Performs other related duties as assigned.






Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)




  • High school diploma or equivalent




  • At least 2 years' experience providing administrative support




  • Advanced knowledge of Microsoft Office suite, command of Google Workspace tools and Zoom.




  • Familiarity with internet and social media marketing methods and practices.






  • Excellent written and oral communication skills.




  • Ability to manage a variety of tasks and to use time efficiently.




  • Attention to detail, mastery of English grammar and punctuation.






Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)




  • Familiarity with project management software.






  • Experience with databases, content management systems, bulk email platforms, and customer relationship management systems.




  • A sense of curiosity and an eagerness to acquire new skills.






Physical Demands/Working Conditions




  • Typical office environment.






Work Schedule


18.75-hour work week, mostly contained within an 8:30am-5pm, Monday-Friday. framework; available to work evenings and weekends.
