General Description:

The Grant and RFP Specialist will provide high-level administrative support to the Chief Operating Officer (COO), Chief Executive Officer (CEO), and other assigned leadership team members. Responsibilities include research relevant to proposals; copy editing; preparing reports; drafting and collecting letters of reference, funding proposals, and other documents using Microsoft Office; reviewing requirements and assisting with preparation of grant and RFP proposals. The ideal candidate must be well organized and able to work independently.

The Grant and RFP Specialist may do most of their work remotely but may be required to attend in-person planning meetings in order to utilize equipment and provide in-person assistance. Options provides necessary computer hardware and software, phone service, email, voicemail, connectivity to host applications. To work remotely, the employee will need to have a fast and stable Internet connection and a workspace that is free of distractions and noise, which can effectively protect private and confidential communication and documents.

Required Qualifications:


  • Completion of high school or equivalent


  • Two years of experience in an executive support role


  • Proficiency in Microsoft Word, Excel, and PowerPoint


  • Strong Internet research skills


  • Flexibility


  • Discretion


  • Excellent interpersonal skills


  • Project coordination experience


  • Ability to work well with all levels of staff, funders, clients, and vendors


  • Pass Oregon ODHS criminal background check, which may include fingerprinting


  • Must have respectful, open, unbiased, accepting attitude toward others


  • A valid drivers license


  • Able to travel and work from various offices and locations.

Language Skills, ability to:


  • Read, analyze, and interpret technical procedures and governmental regulations.


  • Write reports and manage projects.


  • Effectively present information and respond to questions from leadership and staff.

Must have excellent spelling, grammar, and presentation skills. An assessment of computer and language skills will be part of the interview process.

Essential Duties and Responsibilities:


  • Coordinate efforts in preparation of proposals and assist with management of deadlines.


  • Analyze requests for proposals or grant guidelines; provide a summary for assigned proposal writer(s).


  • Develop and track proposals, updates, and reports for all foundation and agency fundraising.


  • Review and summarize grant and RFP guidelines; prepare background documents as necessary.


  • Perform administrative tasks including drafting letters of support, reports, and other documents.


  • Format a wide variety of documents.


  • Receive incoming communication or memos and review contents to determine importance, summarize, and distribute to appropriate staff.


  • Provide support to the Executive Assistant, as needed.


  • Other duties as assigned.

Working Conditions:


  • Vision sufficient to read computer screens and printed documents.


  • Prolonged periods sitting at a desk and working on a computer.


  • Must be able to lift up to 15-20 pounds at times.


  • Mobility and dexterity sufficient to assist staff and handle required job-related functions.
