JOB DESCRIPTION
Job Summary/Objective: The student data specialist is responsible for a variety of administrative functions that focus primarily on student data for Early Childhood Programs. This position is responsible for the intake, referral, and scheduling processes for early intervention children. The position also handles t he management of the transition process for kindergarten eligible children in coordination with parents/guardians, Bucks County Intermediate Unit (Bucks IU) staff, and school district staff. Also responsible for Infant/Toddler transition processes and setting up of birth to three for evaluation team and entering data into various student information systems.

Essential Functions:

Student Data/Intake Process/Transition to K:


  • Synthesize and chronicle accurate data, to improve the Student Education Plan System and Student Information System.

  • Complete and maintain the admission/enrollment and rostering/withdrawal process and maintenance for students in the Student Education Plan System and Student Information Systems
  • Identify time sensitive NOREP (Notice of Recommended Educational Placement) documentation, track and prepare accordingly
  • Evaluate and comply with MOU (Memorandum of Understanding) process following correct procedures for mediation, informal meetings, or due process.
  • Maintenance of staff user accounts and permissions on Student Education Plan System and Student Information Systems

  • Produce, audit, and analyze necessary reports (K-5 billing, Eligibility, Transition to Kindergarten, etc.) for both external clients and internal administration and compliance monitoring
  • Identify and process Birth to three aged children referred into service for Hearing and Vision.

  • Facilitate the Intake Process with all incoming requests by parent(s), physician(s), Head Start, Connect Ed, and other agencies or move-ins for the ECP. Complete intake screening questionnaire with family/guardian, administer data entry, clearing and assignment of children into the Student Education Plan System and Student Information Systems. Identify and assign intake to the diagnostic team for an evaluation.
  • Process all incoming intakes and assignments of ECP students that are requested by the Base Service Units for birth to three transition children. Manage data entry, clearing and assignment of children into the Student Education Plan System and Student Information Systems.

  • Examine Student Education Plan System for children that have been transferred to Bucks IU. Accept transfers, allocate to Bucks IU evaluators, apply funding source, and complete data entry into the student information system.

  • Examine information regarding remaining children in PEI (Preschool Early Intervention) for budget purposes. Generate and compile reports from Student Information Systems defining transition to kindergarten eligible children
  • Select and remove/exit all active transition eligible children (from prior year) from Student Information Systems
  • Generate transition mailings to parents including District Flyer, Notice of Options, Transition meeting date and time and letter from program director.

  • Assemble setup and synthesis of meeting schedules for Bucks IU staff and District staff for transition meetings, including rescheduling of missed appointments

  • Devise and share required transition planning reports, intent to register and permission to share forms. Combine and organize all forms throughout the year.

  • Interpret and respond to emails daily from districts, Bucks IU staff, and parents/guardians

  • Periodically produce reports to distinguish newly identified children to assess them throughout the year

Supervisory Responsibility: No direct supervisory responsibilities.

The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Position Type/Expected Hours of Work: This is a full-time, 260-day calendar position. Days and hours of work are Monday through Friday. Hours of work are from 8:30 a.m. to 4:30 p.m. Hours are dependent on the needs of the districts. Occasional evening and/or weekend work may be required as job duties demand.

Travel: Little travel to client locations is expected for this position.
