DIVISONAL OPERATIONS SUPPORT:
Answer office door and phones, greet guests, manage sign-in software.
Receive, sort, distribute mail and prepare packages for shipping.
Manage office keys and swipe cards.
Order office supplies, office equipment, and business cards for office personnel.
Manage meetings on behalf of Divisional staff and ensure office is ready to receive guests.
Manage conference room schedule and provide technical support for set-up.
Assist in electronic filing of documents and records maintenance.
Plan and schedule training sessions for senior staff.
Assist with marketing efforts, including managing media subscription, review, and sending articles of relevance to the company.
Handle all company event planning.
Provide administrative assistance as needed during the proposal process.
Coordination with building management for any maintenance concerns.
Establish and maintain professional working relationships with co-workers and customers.
Follow policies and procedures as described in corporate manuals and directives.
Attend work each day during scheduled work hours unless on approved travel or time off.
Perform occasional travel to contractor and customer sites, as required (see WORKING CONDITIONS below).
Work flexible hours and capability to work remotely as required.
Carry out other duties as may be assigned or requested.
PROGRAM MANAGEMENT SUPPORT:
Assist in preparing correspondence, briefing materials, and other documentation in support of program managers as required.
Utilize appropriate management information and feedback systems to review, control, and report on assigned projects as required.
Track and manage travel and send notifications to the customer.
Provide support with annual training by tracking and sending reminders to ensure compliance with company policies and procedures.
Must have a minimum of a high school diploma.
Must have four years of administrative and/or project assistant experience.
Must be proficient in the use of Microsoft Office Applications (Outlook, Word, Excel) and other standard (Customer specified) applications.
Must be able to transport self to various facility sites, as required. IF using own motor vehicle, must possess a valid driver's license and proof of insurance.
