Job Description

Job Title: Shipping Coordinator Date: March 2024

Reports To: Warehouse Supervisor

Summary

American Fan has an opportunity for a Shipping Coordinator, based in our Fairfield, OH facility.

In this role, you will execute the daily schedule with their team, serve as a trainer, fill in for operators who are on vacation or when demand increases, and work with the supervisor to improve safety quality, on time delivery, and productivity of their team. This person will be able to work independently and lead or support a team when needed. The ideal candidate will possess exceptional communication skills and be able to develop binding relationships across all functional areas within the organization, as well as with customers and vendors.

Primary Duties and Responsibilities


  • Maintain and keep compliant with your team's training records.
  • Respond to emails throughout the day to various team members and vendors.
  • Overseeing OSP this will include dispatching trucks to vendors and maintain daily schedules.
  • Respond and assist all people with questions through the day. Shipping office is a high traffic office.
  • Coordinate with Customer Service if an issue arises that needs their help.
  • Assist finance with invoicing issues as needed.
  • Conduct daily department meetings, review EHS alerts & toolbox topics.
  • Update JSA board as needed.
  • Maintain key sign out for vehicles and offsite warehouse.
  • Audit 5S in the department.
  • Assure all forklifts are plugged in to charge prior to leaving.
  • Review all change orders,
  • Approve time in Ceridian.
  • Manage L4 data and present during daily L4 meeting.
  • Approve and maintain vacation schedule within department.
  • Assure vehicle logs are completed, and compile to present to management.
  • Track fuel usages, both in gas and diesel, along with mileage data
  • Enter purchase requisitions for Cast Alum, Logistics, and Skid materials as needed.
  • Maintain and review visitor sign in (if entering the shipping area).
  • Enter current day's shipments onto spreadsheet to present to management.
  • Review crane power industrial truck and electric pallet jack inspection sheets.
  • Maintain skid inventory to always be aware of what is available for orders.
  • Oversee the offload lumber and load wood racks for team preparation.
  • Track Logistics spend monthly to assure we are within allotted budgets.
  • Identify and assure all items needed to be shipped for the day are packaged and crated.
  • Ship in ERP system all product that will be physically shipping each day.
  • Assure all Packing slips & BOL are created provided to carrier and filed for shipments.
  • Attach all labels regarding to shipments, Customer, Pro, packaging and load trucks.
  • Maintain consumables inventory for all packaging needs.
  • Contact carriers to schedule daily shipment.
  • Work with customer dedicated contacts regarding shipments.
  • Review all shipped not invoiced orders weekly to assure shipments are completed.
  • Process UPS orders in D365, package, process through WorldShip.
  • Complete all other duties assigned to you by your manager.

Qualifications and Educational Requirements


  • 2 years of manufacturing experience
  • Ability to learn all positions within responsibility and train operators
  • Knowledge of manufacturing performance indicators such as productivity, utilization, and efficiency.
  • Understanding of manufacturing operations including production principles (capacity planning and plant loading), inventory management, quality systems, and purchasing functions.
  • Ability to create and maintain strong working relationships with employees.
  • Strong interpersonal skills - active listener, clear and concise communicator (both oral and written).
  • Strong basic math background.
  • Ability to organize and manage multiple projects (and people) simultaneously.
  • Knowledge of ERP/MRP systems.
  • Knowledge of lean principles.
  • This position includes access or potential access to export-controlled data. Therefore, you will need to qualify as a U.S. Person, which is defined as a U.S. Citizen, a U.S. Permanent Resident or a political asylee in compliance with International Traffic in Arms Regulations (ITAR) or the Export Administration Regulations (EAR). Acceptable proof of this status includes a US Passport, Permanent Resident Card, US birth Certificate or Naturalization Certificate. Maintenance, including renewal, of licensing authorization is a condition of employment. Government authorization may be a suitable alternative after review on a case-by-case basis.

Desirable


  • Rotating and/or gas and air handling equipment experience.
  • Experience with servicing highly engineered equipment and products.
  • A solid understanding of the product offerings and HNA customer base.
  • Previous leadership experience
