Assist with summer intern and conference reservations, attendee roster collection, and attendee roster imports into our housing management platform.
Coordinate with campus card office and IT to ensure that access cards are accurately prepared and tested for all summer guests prior to their arrival.
Assist with key inventory management for summer guests staying in halls where key access is required.
Supervise the preparation of rooms for summer interns and conference arrivals, ensuring each room is ready for guest arrival.
Maintain inventory of conference linens and supplies.
Ensure proper operation of check in/out procedures for summer interns and conference groups.
Assisting student summer resident staff in conducting 2-3 programs for summer residents and interns over the course of the summer.
Answer questions and resolve guest issues while providing great customer service
Support Housing Operations staff during peak times as needed.
GENERAL
Serve as an on-call campus duty officer, responding to crisis and critical incidents as needed on a 24/7 crisis response rotation (if housing is provided).
Serve as a Supervisor level contact person for emergency situations that arise for residents.
Conducting rounds at least once during their shift to check conditions of building.
Work with other staff members to ensure appropriate duty coverage for institution closing and holidays.
Administrative support in the main office, including but not limited to:
Respond effectively and efficiently to requests, communications, and concerns regarding building issues.
Manage/track work orders and monitor progress of work.
Answering phone and in person inquiries from students and parents while providing outstanding customer service.
Project based support of select departmental initiatives, including but not limited to:
Assist in preparing office communications to students, including opening and closing newsletters each semester, social media posts
Support in maintaining website.
Assist with fall, spring and summer housing operation processes including opening and closing projects, building reports, and room condition reports.
Assist with Key management, including but not limited to:
Key audits
Ensuring campus safety through effective and secure key control
Maintain positive working relationships with outside contractors, vendors, and university staff.
Work in partnership with various university offices as needed.
Maintain confidentiality of records and information.
Other duties as assigned.
POSITION QUALIFICATIONS:
A Bachelor’s degree from an accredited institution
Enrolled as a Graduate Student in an accredited institution.
Preference given to candidates with prior housing, residence life, or summer conference experience.
Good organizational skills and technologically adept.
Positive attitude with excellent oral and written communication skills.
Ability to be on your feet and on the move for long periods of time, and ability to lift 20-25 pounds without assistance.
Ability to manage multiple tasks with careful attention to detail.
Ability to work well as part of a team, as well as autonomously.
Proactive and self-motivated; able to prioritize and complete tasks with moderate supervision, both in an office environment as well as in the field.
Ability to inventively troubleshoot and problem-solve.
Proficient with MS Office (MS Word, Excel, Outlook).
Be able to work with all students, staff, and faculty regardless of race, gender, and ethnicity tactfully, and ensure all guests have a great residential experience.
