In this highly visible role, the Senior Executive Assistant supports the office of the President or First Vice President and is viewed as an extension of the organizations most senior leadership. Therefore, the individual must exercise consistently sound judgment and professional etiquette. This individual is expected to develop a broad network of internal and external contacts in order to provide the required support to the President or First Vice President. This individual may be responsible for coordinating and documenting advanced and/or complex analysis on behalf of executive(s). Work can include compiling and analyzing financial, personnel, and/or operational data.

Additionally, this individual independently manages workflow and project delivery oversight. Regularly utilizes problem solving, decision-making, and analytical skills to meet changing business needs. Work is generally of a critical and/or confidential nature and requires an in-depth knowledge of department and District practices, policies, and programs. Provides administrative support as needed. The level of work is considered advanced, and staff work under minimal supervision. This position has no direct reports.

Your Responsibilities:


  • Serves as gatekeeper, making decisions about relative priorities of meetings and appointments, resolving conflicts as necessary

  • Organizes, prioritizes and proactively deals with administrative tasks on behalf of executive(s) at a senior executive specialist level

  • Independently handles confidential and non-routine information applying extreme confidentiality and sensitivity in the dissemination of information

  • Assists in planning and execution of conferences and meetings including: securing meeting space, developing invitations and communications with meeting and conference attendees, coordinating written materials, managing staff members involved with event and other related tasks with minimal direction at a senior executive specialist level

  • Coordinates small to large projects on behalf of the department and/or participates in larger Department and/or District strategic projects

  • Takes the lead on researching and obtaining information for reports and special assignments

  • Maintains, manipulates and may analyze spreadsheets and databases for department

  • May be responsible for the department's budgeting and reporting Leads control activities for assigned area; may act as liaison for audits and audit resolution activities

  • Provides work direction and training to junior staff as needed

  • Performs other duties as assigned

Your Background:


  • Bachelor's degree or equivalent experience as noted below

  • 10 plus years of direct work related experience is preferred

  • High level of interpersonal skills to handle sensitive and/or confidential situations

  • Strong analytical skills

  • Possesses and applies project management skills

  • Exhibits excellent judgment and high levels of professional etiquette

  • Possesses and applies extensive problem solving and decision making skills Strong written, oral and interpersonal communication skills

  • Time management and organizational skills

  • Service oriented and flexible to meet changing business needs

  • Possesses and applies strong internet navigation and research skills

  • Strong proficiency in MS Office Suite and demonstrated ability to learn new applications

Location: This position is a Hybrid position which will require your presence in the Chicago, IL office location.

  • This position has additional screening requirements due to the information accessed while performing the job.
