The Workplace Manager position is a service-oriented individual and responsible for delivering an exceptional client experience to both our external and internal teams. Reporting into the Director of Global Workplace, you will play a key strategic role in aiding in the support of hybrid work, managing all office vendor relationships, and operational projects. We are looking for a positive self-starter who is eager to thrive in a dynamic environment and is deeply passionate about providing high quality facilities and operations support and execution.
This role is considered essential and required to be in our Chevy Chase office 5 days a week and will sit at the front desk of our HQ.
The individual will be a highly organized and personable HR professional, able to diagnose, report and/or resolve workplace issues quickly and able to manage multiple internal stakeholders, events and competing priorities. This role will be asked to own all day-to-day operations within our HQ and feel pride in being able to provide spaces and experience for our employees to come together.
RESPONSIBILITIES:
Consult, manage and maintain set annual budgets
Manage any employee, vendor and visitor questions
Create RFIs for projects
Manage all vendors for DC office
Manage office mail, shipping and receiving + ad hoc shipping support for accounting & legal
Ensure the office is being cleaned and maintained this includes the front desk, restrooms, reception and conference rooms
Manage the hair salon contractor and all aspects related to the operations of the salon.
Keep inventory and reorder supplies for DC office including but not limited to: salon, speakeasy and cafe areas
Oversee, coordinate and support with internal events including but not limited to: set up, break down, calendar management, catering not only for the DC office but for other remote offices as needed
General Support HR policy and HR programs, initiatives, and solutions
Manage the access control system for the DC office
Manage guest experience with Envoy Visitors: pre-arrival with welcome email, on-site visitor check-in, and host notifications
Provide a white glove experience to all guests
Manage incoming guest list daily and share it with building security
Analyze, organize and report all data needed for ESG, real estate reporting, budgeting, health and safety, access control and other requirements as needed (training will be provided).
POC for all moves, adds and changes within office
Provide additional administrative, data & platform management, and/or event support for the team as needed
Provide support for other remote offices as needed
Will serve as the first point of contact for any after hours on-call work as needed, including planned and emergency work.
SUCCESSFUL WORKPLACE MANAGER CANDIDATES MUST:
Be able and willing to work in the office. This person will be considered an essential employee and therefore must be in office 5 days a week.
Have 3-5 years Facilities management experience
Have 5+ Years Workplace or Office management experience
Have prior office construction and build experience

Strong organizational skills for any moves, adds and changes locally and remotely
Have organized and concise process articulating ideas, both verbally and written
Be able to have tough but always kind conversations with vendors and hold them accountable
Be pros at prioritizing, organizing, and time management
Have experience implementing health and safety policies
Be able to analyze and organize multiple forms of data
Have contract negotiation experience
Manage multiple vendors and contractors
Be able and willing to be flexible and pivot while meeting deadlines
CANDIDATES SHOULD ALSO:
Have experience working for a Tech company
Be FMP Certified, highly encouraged but not required
Access control oversight experience
Understand the RFI and RFP processes
Have experience using and working with Envoy
Be familiar with Impact reports + ESG initiatives
Have knowledge of Microsoft Suite, Adobe and G-Suite
Are fantastic ambassadors with impeccable customer service
Thrive in a multi-tasked, fast paced environment
Excel at proactively investigating, identifying, & resolving problems
Work independently, but offer to support others when bandwidth permits
Have incredible attention to detail, particularly in regards to data and supply management and inventory auditing
