Job Overview: This position reports directly to the Vice President - Corporate Controller and is responsible for supporting a wide range of activities in the finance department; handling routine support on treasury, banking, tax, and corporate governance functions, coordination of department supplies and purchasing, distribution of mail, scheduling of meetings and events, communication with external vendors/customers, and supporting efforts with special projects.

Key Responsibilities:


  • Complete daily administrative tasks, such as responding to emails, answering phone calls, delivering internal employee communications, managing correspondence, and the coordination of documents for signature.
  • Organize and schedule meetings, luncheons, and events requested by the Controllers or Executive Team, including preparing agendas, materials, room setup, meeting minutes, and follow-up on action items.
  • Prepare documents and reports for departmental projects, presentations, and other finance initiatives.
  • Coordinate travel arrangements and prepare travel itineraries for Controllers, including booking flights, accommodations, transportation, and processing expense reports.
  • Process and submit departmental invoices in a timely manner for accurate payment.
  • Administer corporate tax payments, which involves maintaining the tax authority database, updating due dates in tickler file, and reviewing incoming notices to verify payment requirements.
  • Analyze requests from the Cash Exchange Program to determine the source of the banking errors and decide required action to proceed with.
  • Oversee and track the distribution of office building parking requests for visitors and current employees.
  • Monitor and order office supplies for the department, ensuring adequate stock levels are maintained.
  • Manage the distribution of incoming and outgoing mail packages and assist with UPS related issues.
  • Collaborate with the Executive Administrative Assistant to provide support through partnership and facilitate a cohesive workflow with the Executive Team.
  • Assist with employee engagement activities and events for the corporate office.
  • Uphold a high level of discretion when handling confidential information.
  • Prioritize tasks and manage time effectively to meet deadlines.
  • Other duties as assigned.

Primary Qualifications:


  • High school diploma or equivalent; associate's or bachelor's degree is a plus.
  • Minimum 5-8 years related experience.
  • Finance and accounting experience or exposure is desired.
