Event Coordinator at INTERNATIONAL MARINA GROUP LP in Harrison Township, Michigan

Job Description:

The Event Coordinator/Member Service Specialist role focuses on daily tasks such as Service Requests, Customer Service activities, etc., along with the Event Coordinator responsibilities. Multi-tasking is of the utmost important, along with urgency of completing tasks and being available as a team member.

please note this position is part time at 24 hours a week!

Essential Duties and Responsibilities
Event Coordinator Responsibilities

Ensure marina events are organized and executed flawlessly (includes creating events: i.e., research of potential vendors/bands/food trucks and being the main contact with contracted parties throughout the event)
Be present at all events (including closing of event)
Maintain the Event Calendar (Review community activities to avoid event scheduling issues)
Coordinate event logistics with yard crew/registration and attendee tracking/management of support staff of volunteers
Some manual labor required (lift containers/event equipment, shop for supplies, clean venue before, during and after events, stand for extended periods of time)
Ensure events are kept within budget - work closely with the GM and Business Managers for review/approval of events
Keep budget records by event and reconcile records with accounting needs
Other duties as assigned by Manager


Administrative and Marina Customer Service Responsibilities

Create service request for members, marina office, and building repair issues
Review requests with the yard manager and/or repair contractors
Quote pricing and coordinate billing of in house repairs made
Create Member Access cards from photo files
Assist Customer Service as needed
Answer the telephones and emails
Assist at office counter
Update internal member records
Schedule Launch/Haul out appointments
Assist customer service with maintaining insurance documents
Create the inside-heated building diagrams using SMARTDRAW, which include to-scale boat drawings with boat and member information
Order supplies (coordinating with management to ensure within budget)
Support Management with requests/special projects


Marina Communications

Create and coordinate Member communications using Mailchimp and/or Constant Contact for Condo
Maintain email database
Coordinate Facebook content, using the Hootsuite application
Coordinate the branding of Safe Harbor Belle Maer stationary, forms, envelopes, etc .to ensure corporate requirements


Safety and Environmental Responsibilities

Follow SHM Safety and Environmental rules and complete required related training
Wear proper personal protective equipment as required for the task or work area
Report all accidents, injuries, spills and near misses immediately


Technical and Physical Requirements

High school diploma or equivalent preferred
Prior marina experience preferred
Previous customer service experience preferred
Proficient in Microsoft Office
Ability to sit for long periods of time
Ability to lift 10 pounds

The Member Service Specialist is responsible for assisting members with their immediate needs. This may include, but not limited to, giving information on the facility, products and services, assisting with reservations, and collecting payments.

Developing and maintaining effective and friendly working relationships with staff, members, guests and dealing with conflict effectively, courteously, and tactfully
Responding to member questions and needs via phone, email and in person
Providing excellent customer service
Dealing with conflict effectively, courteously, and tactfully
Accepting and reconciling daily cash, credit and check payments, and following up with past due balances
Routine administrative tasks including office leasing
Provide information on marina products and services
Available to work overtime when required
Other duties as assigned by Manager
