Job Description:

Quality Assurance Specialist Responsibilities:


  • Will perform timely quality reviews/monitoring of NFJP/CSBG participant cases using the UMOS Database System or other designated UMOS system in performing quality control measures in eligibility determination, scanned documents, training enrollment, career services, training activities, updates on employment plans (UEDP) and related assistance cases.

  • Ensures all intakes, case notes, services provided, assessments, Initial and Updated employability plans, student timesheets, vendor/contracts, invoices, vouchers, are complete and entered into the database and all required documents are uploaded and electronically signed.

  • Will assess and ensure compliance with PII (personal identifiable information) and troubleshoot client intakes to support NFJP/CSBG Staff.

  • Using a data base system or similar, data enter and/or perform vendor payment reviews that includes verification of vendor agreements and/or contract execution, appropriate documentation for invoice processing and when necessary, resolve vendor/contractor/invoices inquiries and/or problems.

  • Using the database system, maintain vouchers/gas cards, identify, and resolves WIOA 167/CSBG voucher inquiries and/or problems, and submit vouchers/gas cards along with the necessary paperwork to accounting for payment processing.

  • Maintains professional and technical knowledge OF NFJP/CSBG program regulations, policies, and procedures by attending educational workshops, reviewing professional publications, establishing personal networks, benchmarking state-of-the-art practices, and participating in professional societies.

  • Assist with data collection and reporting requirements under the NFJP/CSBG in coordination with MIS including data review and validation, error correction to ensure timely response to internal/external customer/funding source information/reporting needs.

  • Establish and maintain an effective data collection and reporting system designed to communicate quality assurance outcomes.

  • Participate in "clean-up" systems projects or large-scale systems-related errors and provide current, accurate systems-related manuals and/or updated policy/procedures to program staff.

  • When necessary, assist program staff order supplies for assigned offices, filing, mailings, phone calls, and routine tasks.

  • Conduct Quality Assurance program audits and make written recommendations to management based on the audit findings.

  • Develop program improvement plans with input and feedback to program staff including TTA in the correction of case files.

  • Responsible for tracking weekly, monthly and quarterly Quality reviews of employees and use data to develop individual and/or group TTA plans.

  • Develop and maintain accurate and comprehensive graphs and charts designed to reflect program trends and outcomes.

  • Responsible in assisting with the development of a comprehensive training program to meet mandated State, and Federal training requirements.

  • Attend meetings, conferences, workshops/trainings, and workshops as assigned

  • Perform special projects and other duties as assigned.

Quality Assurance Specialist Qualifications:


  • Minimum of a High School Diploma (or equivalent) supplemented by two years of post-secondary education, in a relevant field. Note: Additional years of work experience in a relevant field can be substituted for one year of education. Bachelor's degree Preferred

  • At least 1-year experience in quality control, auditing, case management or related field.

  • Excellent communication (both written and verbal) and organizational skills.

  • Basic computer skills; good oral and written communication skills.

  • Good computer skills working with Microsoft office suite. .

  • Ability and willingness to travel and work Irregular hours (non-standard and evening) .

  • Must have own transportation, possess a valid driver's license, and have adequate insurance.

Tools & Equipment Used:

  • iPad, iPhone, laptop computers, projectors, copy/scanner machine, computer.

  • Be able to scan documents and encrypt documents as necessary.

  • First aid equipment, fire extinguisher.
