The role supports the Graduate Program in Electrical and Computer Engineering, handling admissions, program operations, student affairs, financial matters, advising, statistics, recruitment, and student life enhancement. It serves as the departmental contact for Course Inventory Management and Catalog with limited supervision. This position is a Grade: 8-37.5 with an approximate salary range of $43,290-$51,960 and is subject to change based on experience, skills and qualifications

1. Graduate Application Administration
• Administers Graduate Application Process: manages applications, maintains files, and communicates decisions
• Facilitates International Student Procedures and supports Faculty Recruitment
• Collaborates with GEM Consortium to identify potential graduate candidates
• Manages Decision Notifications, preparing and sending letters to applicants
• Monitors and recruits potential students through various channels

2. Graduate Program Coordination

• Coordinates with Committees: Manages correspondence with Graduate, Curriculum, and Advisory Committees
• Manages Statistics and Data: Prepares graduate student and financial statistics, maintains updated course descriptions, and collects nominations for fellowships
• Handles Financial Support: Collects financial information, processes payroll, and manages financial support letters and tuition awards
• Ensures Funding Availability: Reviews accounts for sufficient funding and processes tuition remission
• Supports Graduate Services: Assists with surveys, coordinates visits, advises students, supports distance education, and aids in accreditation processes

3. Graduate program advertising and recruitment
• Recruits Domestic Doctoral Students: Organizes department schedule for PhD College Recruiting event and coordinates with Graduate Faculty
• Manages GEM Recruitment: Oversees department's GEM recruitment process and outreach efforts
• Promotes Program: Advertises department graduate program to universities and collaborates on website updates
• Advises Undergraduates: Provides guidance on continuing to graduate school, including class reservation, course registration, and degree options
• Develops Future Plans: Compiles preliminary action plans for pursuing MS or PhD degrees

4. Coordinates Preregistration, Registration, and Orientation
• Organizes Department Orientation: Coordinates orientation activities and prepares orientation packets
• Manages Registration Process: Sends registration information and coordinates training sessions for incoming students and faculty each semester
• Supports Faculty Coordinator: Prepares materials for orientation presentations and provides necessary forms to students for registration
• Distributes Departmental Information: Coordinates distribution of essential departmental information to students and faculty
• Monitors Student Progress: Reviews student registrations, ensures compliance with degree requirements, monitors grades, and advises students on progress. Assists with exam preparation and provides necessary documentation

5. Graduate Student Coordination
• Manages Facilities and Resources: Creates and maintains student mailboxes, oversees lockers, office space, and building access
• Facilitates Job Opportunities: Shares information on potential job openings with students
• Handles Administrative Processes: Processes graduate student forms, provides graduation information, schedules TOPSS testing, and updates student files
• Advises Students: Provides guidance to Lehigh undergraduates interested in graduate school
• Supports Teaching Assistantships: Gathers information for teaching and departmental assistantships, monitors surveys for TA positions, and maintains seminar attendance records. Co-supervises work-study student

6. Course Inventory Management (CIM) and Catalog department contact
• Initiates and assists the faculty, undergraduate and graduate committees with course and curriculum changes in the CIM system
• Provides data entry support and communication with appropriate departments
• Coordinates the catalog revisions

Qualifications

Associates Degree or Vocational/Technical Degree in Business Administration or Communications; Bachelor's Degree in Business Administration, Communication or Data Analytics preferred

Three to five years related work experience

Experience in graduate coordination and Banner system a plus

Strong financial and analytical skills

Great management and leadership skills

Strong verbal, written and visual communication skills

Excellent organizational skills, time management and sound judgment

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
