JOB SUMMARY

The Human Resources Representative supports all areas of the HR division including but not limited to talent acquisition, benefits administration, learning and development, employee records, compliance to ensure smooth operations.

ESSENTIAL FUNCTIONS


  • Assists in the logistics and coordinating of training for a variety of HR programs (new hires, LEAD, Pacesetters, as well as other programs) including scheduling, room setup, assembly/duplication of materials, and supporting other related needs as applicable

  • Tracks attendance and/or training compliance for various programs supported by Human Resources (LEAD, LEAD Pacesetters, Learning Library hours, Safety Training, Employee Handbook, etc.)

  • Tracks and enters tuition reimbursement in the HRIS system to include prompt responses to employee inquiries and prompt reimbursement through payroll

  • Assists with the employee anniversary process, providing information to the necessary vendor to facilitate plaques and service award gifts and coordination with Communications

  • Assists in updating SharePoint Human Resources Hub sites, Manager Toolkit, Learning and Development Team Sites, etc., which may include creating new content and updating existing content

  • Partners with other HR team members to ensure all PERA employee job descriptions are updated and current in the learning and performance and HRIS systems, tracking and maintaining to ensure completion

  • Maintains paper and electronic files according to record retention requirements and internal policies

  • Administers the InFre renewal process and other related tasks

  • Supports the internal retirement education training program for employees using Adobe Captivate to include the adaptation of existing material and the development of new material

  • Serves as an administrator for PERA’s learning and performance system (Achieve), providing support in processes run via the system including but not limited to employee goals, performance appraisals, training, and reporting

  • Supports processes conducted in the Achieve system, including administration of such processes, maintenance updates, vendor communications, and other tasks

  • Creates and/or updates training material including PowerPoint presentations in collaboration with HR Director and Learning and Development Specialist.

  • Proofreads documents, spreadsheets, PowerPoints, emails, and other items as needed for accuracy

  • Supports Talent Acquisition & Onboarding scheduling and coordination for interviews, orientation, and/or other meetings as needed

  • Supports Benefit processes as needed including open enrollment

  • Maintains office supplies and equipment, ordering or inputting requests when necessary

  • Assists other areas of the HR department with administrative needs

  • Maintains strict confidentiality of sensitive data, information and material

  • Maintains regular and prompt attendance in the workplace and at meeting locations

  • Performs other duties as assigned

QUALIFICATIONS


  • High school diploma or equivalent

  • Strong MS Office Suite skills including Word, Excel, and PowerPoint

  • Demonstrated ability to work effectively with employees and leadership

  • Ability to work with sensitive data and maintain confidentiality

  • Demonstrated problem-solving skills, attention to detail and focus on quality

  • Demonstrated ability to self-direct work including the ability to set priorities, organize work, meet deadlines and communicate issues in a timely manner

  • Demonstrated ability to learn and effectively utilize new software and technologies quickly

  • Experience and demonstrated ability to participate in a team environment to complete project work

WORKING CONDITIONS


  • Standard office environment with frequent telephone communication, computer operation, and other office productivity machinery, such as a copy and printer machine.

  • Occasional moving and positioning supplies in excess of 20 pounds

HYBRID WORK OPTION


  • Opportunity to work from home up to two days per week. Eligibility dependent upon factors detailed in PERA's Work from Home Policy.
