UTHealth Houston is looking for an Administrative Assistant to work in the reception area of our Office of the President. This employee provides general administrative support to a group of professionals under general supervision. Performs work that is varied and generally administrative and/or project-oriented. Work occasionally requires the use of initiative and judgment. This position provides secretarial and receptionist support. This is a key role in the Office of the President because you will become the first contact visitors and guests will interact with when dealing with our leadership. You will direct people and help set up crucial meetings. This will include making sure everything required is there, including technical aspects, seating, and supplies.
There will also be clerical duties involved, and managing FMS transactions in COUPA will be a task that this administrative assistant deals with regularly. Experience with the University's financial system is a plus. You will manage supplies and ensure the department is fully stocked with what is needed to operate daily.
You will be working on-site on the seventeenth floor of the University Center Tower. There is a dress code, and employees should be able to maintain a professional demeanor in all situations. You must also be a trusted member of a team that is often working on sensitive and confidential projects. Position Key Accountabilities:
Certification/Skills:
Working knowledge of standard Office Software such as Word, Excel, PowerPoint, and Outlook is required.
Use of University financial systems may be required.
Minimum Education:
High School diploma or equivalent.
Associate's degree and higher preferred.
Minimum Experience:
Four (4) years related work experience required.
Prior experience with scheduling, maintaining calendars, and travel itineraries required.
Prior experience preparing meeting materials or general reports is preferred.
May substitute required experience with equivalent years of education beyond the minimum education requirement.
Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
