IACP seeks to hire a meeting professional with strong managerial and personnel skills to lead and manage a team of seven. This individual will direct meeting events within the Association to include the IACP Annual Conference and Exposition – with 18,000 attendees, 8,000 room nights, 600+ exhibitors with over 200,000 net square feet of exhibit space with 600+ exhibitors and 200+ educational workshop.  In addition, this position has oversight for 5 mid-sized meetings ranging from 300-1,200 attendees and numerous other meetings. 


 Job Functions



  • Provide leadership and direction to all team members relative to their project portfolios, including advice and direction on all meeting and event management and budget related issues.

  • Conduct special projects and other duties as assigned

  • Direct all elements of the IACP Annual Conference and Exposition and IACP’s mid-sized events to include:

    • Oversee the ongoing development and implementation of the annual conference and mid-sized events.

    • Supervise the content team development of the annual conference program and speaker management.

    • Direct all technical aspects of the general sessions including visual, sound, staging, script writing and keynote speaker management.

    • Event management for special events

    • Supervise conference housing manager to help provide contractor oversight, group management and hotel contracts.

    • Supervise the exhibits and sponsorship team with booth and sponsorship sales and collections, public space allocation, floorplan design and management.

    • Cultivate relationships with IACP sponsors and partners, working with contractor responsible for the sale and oversight of sponsorships.

    • Collaborate with IACP’s membership team to coordinate registration process and procedures.

    • Work with IACP’s communications team, developing and implementing a multi-platform marketing plan for the IACP Annual Conference and Exposition that targets a diverse audience of attendees, exhibitors and sponsors.

    • Organize and conduct site visits as needed for meetings.

    • Manage future city site selection and bidding process for the Annual Conference and Exposition as well as mid-sized events; prepare city recommendations for presentation to the IACP Leadership.



  • Ensure IACP’s hotel contracting process is being followed for all hotel contract needs. Build-out a program to educate internal staff of the new policy.

  • Oversee the preparation of the budget for the IACP Annual Conference and Exposition and assist in the development of other conference/meeting budgets. This includes establishing budgetary goals and objectives for the fiscal year and providing relevant historic budgetary data for comparison purposes.

  • Monitor revenue and expenses. Project year-end financial data, making ongoing adjustments to reach the planned fiscal goals.

  • Special Projects and Other Duties as Assigned


Education



  • Bachelor's degree in subject-relevant field + eight (8) years of job-related experience OR Master's degree in subject-relevant field required + seven (7) years of job related experience required


Relevant Experience/Skills



  • Minimum of ten (10) years relevant experience in:

    • Program/project management

    • Event Management

    • Developing, managing, and evaluating staff members



  • Minimum of four (4) years of staff and/or consultant supervisory experience;

  • Experience managing comprehensive multi-year projects;

  • Strong interpersonal, organizational, and communication skills;

  • Superior verbal and writing proficiency; capacity to work collaboratively and productively with the project team, law enforcement professionals, CVB’s, Hotel Representatives and other event management vendors.

  • Demonstrated ability to implement programs and products that positively affect face-to-face and hybrid events.

  • Ability to multi-task; must be organized and have attention to detail.

  • Experience in accounting for project resources.

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Exceptional writing, editing, and communication skills

  • Strong penchant for collaboration and teamwork

  • Critical thinking and decision-making skills

  • Superior task prioritization, organization, and time management skills, attention to detail and long-term project planning

  • Exceptional skill in coaching, developing, training, supervising, and evaluating employees

  • Ability to effectively task and oversee vendors and negotiate contracts


Preferred Qualifications



  • Strong familiarity with and understanding of event management

  • Extensive experience in a non-profit organization and association environment


 Special Conditions and Work Environment



  • Travel will be required based on job responsibilities

  • Work takes place primarily in an office environment

  • Light lifting, bending, and reaching may be required

  • This is a grant funded position for which continuation funding will be sought
