Overview

The Academic Affairs Program Associate contributes to the work of Academic Affairs in the Office of the Provost by supporting the committees, special projects, and routine responsibilities of this unit. The Academic Affairs unit is led by the Vice Provost for Academic Affairs and coordinates and fosters effective information flow, context-setting, and decision-making with academic and academic administrative offices across the University. Working closely with the Cabinet-level offices and officers that report to the Provost, the Academic Affairs unit monitors and enables progress on academic programs, major initiatives, planning, implementation, and governance. This is done in part through the Academic Planning Group, which is chaired by the Provost and is the senior-most body at the University that reviews and approves new academic initiatives and programs and monitors and works to enhance existing ones.

The Academic Affairs Program Associate reports to and supports the Vice Provost for Academic Affairs and also supports the Assistant Provost for Academic Studies and Analysis. As with all administrative coordinators and support staff in the office, the position will also take some direction from the senior manager for administrative operations to ensure that office policies and practices are consistently applied and that the office as a whole is staffed and covered appropriately. The position will regularly interact with other senior staff within the Office of the Provost as well as other Cabinet-level officers and their staffs to assist in preparation and coordination of information, materials, and work products.



Responsibilities

Coordination of and Support for Institutional Committees and Groups - 40%

  • Under the direction of the Vice Provost for Academic Affairs, organizes staffing, supports, and contributes to the development of critical academic goals across institutional committees and standing working groups, including the Academic Planning Group, the Academic Data Group, the Cultural Property Advisory Group, and other committees and groups as assigned.
  • Develops and coordinates decision-support materials: assists with planning and development of agendas, production of materials for meetings, technical and logistical support for meetings, and post-meetings communications.
  • Develops and maintains tracking mechanisms for action items stemming from decisions and enhanced documentation retention practices for cross-unit availability of appropriate archival material.

Academic Studies and Analysis Support – 30%

  • Provides research support for special projects by finding, retrieving, compiling, and organizing information from public and internal sources in support of studies used in academic planning and analysis.
  • Maintains database, including inputting, exporting, merging, and analyzing data, and preparing reports for leadership.
  • Supports the management of project-related documentation and archiving by ensuring all necessary materials are organized and appropriately accessible.

Academic Outreach Projects and Support – 20%

  • Coordinates and manages ongoing inventorying and classification of academic outreach efforts across the institution, and develops and maintains a website and other communications for such efforts.
  • Supports and staffs outreach-focused meetings and working groups convened by the Office of the Provost.
  • Tracks and assists in managing external partnerships and agreements.

General Program Administrative Support – 10%

  • Represents Academic Affairs on special projects and committees
  • Prioritizes commitments and obligations and provides proactive administrative support, including calendar and meeting support for the Vice Provost for Academic Affairs as well as the Assistant Provost for Academic Studies and Analysis
  • Assists with Cabinet-level and other senior management searches led or staffed by the unit
  • Staffs various meetings, providing technical and logistical support

  • Highly effective organizational and project management skills;
  • Strong oral/written communication skills and ability to clearly and effectively communicate to a diverse community of stakeholders
  • Superior interpersonal skills (customer service) including the ability to identify mutual interests and needs, work collaboratively, and create consensus among senior level stakeholders;
  • Demonstrated ability to gather, analyze, interpret, and present data (quantitative and qualitative) for varying constituencies and purposes; (6) Ability to exercise good judgment, maintain confidentiality, and handle sensitive information in a discrete manner

PREFERRED Skills, Competencies, and Abilities

  • Experience in a university setting desirable
  • Experience with academic processes
