**Part-Time**

Position Summary

The Inpatient Therapy Office Assistant provides professional level administrative and clerical functions for Inpatient Therapy Services, including greeting patients, family, visitors, and staff; answering questions, and handling phone calls. Responsible for accurately preparing and posting charges to accounts. Performs detailed data collection and for tracking and monitoring on charge entry related items. Also coordinates Durable Medical Equipment (DME) processing.


Essential Job Functions/Accountabilities

Answers telephone calls and responds to patient, family, clinical staffs general questions. Assists with patient scheduling; Notifies clinicians with scheduling requests/changes/add-ons; Tracks and documents add-on patients; Locates/prints medical records as needed. Documents monthly therapy staff meeting minutes; takes meeting minutes.


Collects daily therapists charge tickets; Performs daily charge entry/ audits; Understands and performs Outpatient Occurrence Value Coding; Understands necessary reporting for Medicare Primary: Modifier and Occurrence code Entries; Troubleshoots all Error, Billing and Day End Reports; Works with Billing company for billing corrections / reconciliation.


Processes medical records requests for DME vendors; Works with outpatient clinic DME departments for patient needs in inpatient; Ensures that proper patient DME forms are complete, current and submitted to the appropriate DME vendor. Monitors Day End Reports: Therapist productivity log and scheduling booklet; ensures Therapists stats are entered daily, match and are accurate; prints monthly reports to submit to manager.


Monitors staff office area; straightens up area if needed. Monitors maintains and orders all staff office equipment, department medical supplies, and durable medical equipment. Provides back-up coverage and assists in daily office routine when needed in other areas. Assists department director with all staff communication, preceptor and new employee orientation paperwork, and scheduling departmental meetings.


Communicates work related concerns and daily patient scheduling issues/concerns to the appropriate individual in a timely and effective manner. Consults with department director when unable to meet departmental expectations.


Attends in-service programs and meetings as requested; completes annual/monthly hospital and departmental competencies.


All other duties not specifically assigned.


Position Requirements

Education: Coursework in health information management, medical coding, or health care operations is a plus.


Experience: Three (3) to Five (5) years of demonstrated experience in field or profession preferred; prior Health Information Management, Patient Financial Services, or related front desk experience in a hospital office strongly preferred; prior experience with charge entry, charge and chart auditing, and physical/occupational therapy services in the hospital setting is a plus.


Technical Skills: Knowledge of current medical terminology, medical documentation, CPT/HCPCS coding, hospital billing, and insurance processing requirements
