Overview
The role of the Executive Assistant - Medical Affairs is to provide daily and on-going administrative support to executive staff members as required. This includes the SVP Medical Affairs and the Medical Affairs Leadership Team (MALT) who are their direct reports. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently and proactively with little or no supervision.
Responsibilities
The role of the Executive Assistant - Medical Affairs is to provide daily and on-going administrative support to executive staff members as required. This includes the SVP Medical Affairs and the Medical Affairs Leadership Team (MALT) who are their direct reports. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently and proactively with little or no supervision.Additional representative responsibilities will include, but not necessarily be limited to, the following:
Responsible for managing calendar, scheduling meetings, making travel arrangements, preparing expense reports, take notes and summarize meetings
Serving as an administrator to appropriate Team Channels, uploading files, maintaining them up to date, and keeping the internal stakeholders informed
Main point of contact and coordination for all department Purchase Orders, statements of work, and invoice tracking and following the Procure to Pay process
Responsible for being proactive in identifying needs, gaps, and accordingly making proposals for improvement
Accountable for their attention to detail and timely following-up on assigned tasks
Responsible for coordinating invites, logistics, and execution of Townhalls and other Medical Affairs team engagement events
Support department projects and initiatives,
Developing, formatting, proofreading and upkeep of general Excel files, Word documents and PowerPoint presentations
Coordination with Legal and Compliance on managing Expert Service Agreements and any other Medical Affairs contracts
Accountable for independently coordinating team meetings including logistics, food, travel, and other arrangements
Answer phones and direct all incoming calls to appropriate party promptly, politely, and efficiently
Setting up, maintaining files and general correspondence
Qualifications:
Minimum of a High School Diploma; Bachelor's degree preferred
Minimum of 5 years executive assistant experience specifically supporting senior level management required
Proactive approach to work, striving for solutions and innovation
Highly motivated toward achievement and surpassing set goals
Experience in the Pharma or Biotech industry preferred
Experience supporting simultaneously multiple executives and ability to manage their needs as required
Desire to learn and take on challenging assignments
Ability to exercise discretion in dealing with confidential or sensitive matters
Ability to handle multiple projects simultaneously while remaining flexible to shift priorities quickly
Ability to excel in a fast-paced environment, sometimes under pressure, with a high level of professionalism is crucial to this role
Professional etiquette in all aspects of the job
Excellent calendar management skills
Must have excellent communication skills (verbal and written).
Highly organized with a strong attention to detail, clarity, accuracy and conciseness.
Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Must successfully exhibit Insmed's five (5) core corporate competencies of: Accountability, Integrity, Passion, Collaboration and Respect; along with any other position specific competencies.
Individuals must demonstrate the ability to interact appropriately and successfully in a dynamic and culturally diverse workplace.

Salary Range
Insmed takes into consideration a combination of candidate's education, training, and experience as well as the position's scope and complexity, the discretion and latitude required in the role, and external market and internal value when determining a salary level for potential new employees.
The base salary range for this job is from $40.38 to $56.28 per year
