Position Summary:

The Supplier Master Data Administrator position will be accountable for the overall quality of vendor master data within Oracle, abiding by the supplier master data policies, and the management of supplier related edits and additions. This role will report to the Payables team and is also responsible for IRS tax reporting and compliance.

Workplace Requirements

Hybrid position: This position is offered as a hybrid role, combining both in-office and remote work to provide flexibility and support collaboration. Remote 2 days a week, in office 3 days. Per Rice policy 440 , work arrangements may be subject to change.

Proposed Hiring Range : $48,700.00 - $60,800.00 annual salary.

Minimum Requirements:



  • Bachelor's Degree

    • May substitute additional related experience, above and beyond what is required, on an equivalent year for year basis in lieu of the education requirement.


  • 1 year of related experience in accounting, accounts payable or another similar role

    • May substitute additional related education, above and beyond what is required, on an equivalent year for year basis in lieu of the experience requirement.



Skills:

  • Basic knowledge of accounting and accounting principles
  • Working knowledge of ERP systems
  • Effective communication and customer service skills
  • Ability to work independently and as part of a team.
  • Ability to demonstrate a keen sense of urgency and strong attention to detail.
  • Individual with proven high productivity history in a high volume and fast paced environment
  • Individual must be self-starter and require minimal supervision.
  • Proficient in Microsoft Office applications (i.e. Outlook, Word, Excel)
  • Verify customer W9 information in IRS TIN Verification Portal (Must obtain individual access to IRS TIN Verification Portal)
  • Interact and communicate with internal/external customers to provide excellent customer service.


Preferences:

  • Experience with supplier and/or vendor relations.
  • Experience using financial systems, such as Oracle Cloud
  • Strong business insight and excellent judgment on supplier performance issues.
  • Proficiency with supplier performance reviews and vendor management tools
  • Strong verbal and written communication skills, able to convey information in a way that others can readily follow.
  • Experience in 1099/1042 reporting and B Notices


Essential Functions:

  • Strong attention to detail and accuracy is critical in this role due to the impact on the entire Payables life cycle from onboarding suppliers, through payment disbursement and managing supplier's performance.
  • Meeting or exceeding Service Level Agreements regarding timeliness of processing Vendor data requests
  • Setup suppliers into the AP database for payment processing readiness according to established metrics and SLAs
  • Responsible for review and research of IRS notices (i.e., B-Notices, Penalty notices, etc.)
  • Responsible for ongoing review of database for updates, corrections, cleanup efforts


Additional Functions:

  • Acts as a liaison between Payables areas, Campus Departments and Suppliers to ensure timely responses and resolve discrepancies regarding Supplier maintenance.
  • Analyzes and makes recommendations on appropriate payment terms and methods for Rice University Suppliers
  • Stays abreast of and communicates updates and changes to applicable IRS guidelines, regulations and other government or statutory requirements for 1099 or other reporting requirements.
  • Provides internal/external customers with guidance and training on Supplier Master Data when necessary.
  • Research and resolve all discrepancies regarding invalid taxpayer identification numbers in order to be in full compliance with IRS regulations.
