About the Position:



This role is an on-campus, in-person position.


This position is responsible for providing support to the Office of Facilities Planning and Management Project Management Services and Maintenance and Grounds team in the planning, coordination, implementation, and close-out of University construction projects and work orders processed through e-Builder. Works closely with Project Managers, the Director of Project Management Services, Maintenance and Grounds and acts as a liaison with other Facilities staff, campus departments, as well as outside service providers, contractors, and vendors. The sole e-Builder Business Operations Coordinator is responsible for providing services described for all SMU major and minor capital projects, Maintenance and Grounds projects and Property Management projects which averages approximately 380 project per year.



Essential Functions:



  • e-Builder platform operational oversight.

    • Project Coordinator leads the management and development of eBuidler processes taking into account input from the users of the process and confirming the process works for everyone. Project Coordinator would also be responsible for improving eBuilder processes as new ideas and technology becomes available.

    • Maintain and monitor overall data integrity by actively lead the effort to track all eBuilder data and confirm its accuracy while leading users to keep the system up to date.

    • Monitor and assist with closeout of commitments and projects.

    • Lead the effort in developing eBuilder reports based on the needs of the team and leadership. Project Coordination will schedule meetings as needed to define the need and then develop a solution.

    • eBuilder staff training as needed.



  • Project Management and M&G support


    • Project Coordinator tracks and leads users to keep eBuilder data up to date. Communication is delivered as needed through meetings, emails, reporting and any other effective tools available.

    • Work with leadership to establish key KPIs. Lead the effort to find out how to track and report on these KPIs via eBuilder, Power BI, PowerPoint, email and any other tool that proves useful in conveying the information.

    • Leadership of M&G Coordinators helping to maintain and update e-Builder data.

    • Project documentation and closeout. Lead the effort in determining when projects are ready to be closed out and ushering users through the process to ensure it is as efficient as possible.

    • New Project Creation, Project Requests and RFQ/RFP management.

    • Maintain as-built database in SharePoint.



  • Coordinator will provide assistance to leadership with project creation and management in eBuilder.







Qualifications



Education and Experience:



Bachelor's degree is required.


A minimum of three (3) years of experience is required. Candidate with extensive e-Builder experience is required.



Knowledge, Skills and Abilities:



Candidate must demonstrate familiarity with a variety of the field's concepts, practices, and procedures. An advanced understanding of project management and/or budgeting software is desired. Candidate must also demonstrate to be able to train others, create processes, organize, track and maintain database integrity.


Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.


Candidate with extensive e-Builder experience is required. Candidate must be proficient in MS Suite (Word, Excel, Project, Outlook, PowerPoint), e-builder, SharePoint, AutoCAD and Power BI.
