Position Summary:

Responsible for the contract administration for Higher Education and Research Facilities' physical plant, ensuring the maintenance, repair, replacement, renewal, and renovation of university equipment and associated systems. Utilizes the university's computerized maintenance manager system (CMMS), spreadsheets, and other database/reporting programs. Monitors, maintains, and generates status reports for all campus-wide physical plant contracts, encompassing environmental services, landscaping and grounds, waste management, pest control, and other related services.

Position Key Accountabilities:


  • Oversees and manages contracts for appropriate management of the physical plant contracts and labor required to perform and complete work orders and preventative maintenance tasks (PMs) in CMMS programs and associated databases.

  • Administers service contract formation, creation, and analysis to maximize operational and financial performance

  • Maintains and properly stores documentation related to planned and scheduled work, including Computer Assisted Design (CAD) drawings, maintenance task checklists, vibration reports, air balance reports, recorded data logging and charts, operational parameters and adjustment guidelines, product data, Material Safety Data Sheet (MSDS) information, and special safety precautions.

  • Researches and records manufacturer's recommended preventative maintenance (PM) requirements and schedules for the university-owned and maintained equipment and systems.

  • Analyzes and discusses the data collected through the CMMS and other means with applicable team members to assess the need for resources such as equipment, materials, and manpower.

  • Prepares, reviews, and approves cost estimates and purchase requests related to the repair and/or replacement of equipment and/or systems, including materials, specialty tools, and labor. Develops work schedules, set priorities, forecast manpower, and estimated completion time.

  • Guides and trains Facilities personnel and customers in the use of the CMMS software, compiling PM reports, and the efficient application of resources to efficiently accomplish preventative maintenance work throughout the campus.

  • Performs daily maintenance of and adjustments to the CMMS database (equipment, PM schedules, users and their roles, buildings, crafts, and other application codes). Reviews drawings (CAD, Visio, PDF) and other
    documentation provided by the project management team and designing engineers to compile new equipment data and associated PM requirements related to new construction and retrofit projects.

  • Assists with property management tasks related to university-owned and leased property. Helps prepare contract documents for leases and Reviews status report and needs with supervisor or others as directed.

  • Oversees the preparation and distribution of scheduled projects, preventative maintenance, and work orders based reports.

  • Performs other duties as assigned.

Certification/Skills:


  • Thorough knowledge of physical plant contract administration

  • MS Office - Proficiency in Excel

  • AutoCAD

  • Certified Educational Facilities Professional APPA preferred


Minimum Education:

Bachelor's degree.

Minimum Experience:

Three (3) years of directly related experience.

Physical Requirements:

Exerts up to 50 pounds of force occasionally and/or up to 20 pounds frequently and/or up to 10 pounds constantly to move objects.

Residency Requirement:

Employees must permanently reside and work in the State of Texas.
