Position Summary:

The Executive Director of Records and Registration/Registrar provides leadership and oversight to all aspects of the department by effectively providing management for the maintenance and integrity of all student academic records, student registration, compliance with FERPA regulations, and maintenance of process for the equitable and consistent administration of policies and procedures related to academic record keeping. The Registrar leverages best practices, including technological resources, to provide a student-centered approach, emphasizing exemplary service to all constituents. The Registrar supervises the Registration and Records staff and serves on several standing committees. The Registrar must be able to use varying styles and approaches that reflect an understanding and acceptance of the role of culture in a diverse, multicultural workplace. This position supports the retention and success of all students.



Essential Duties and Responsibilities:




Leadership, Vision, Management -


1. Oversee all Records and Registration services, ensuring alignment with college goals.2. Implement and monitor strategic initiatives, adjusting strategies as needed.3. Provide leadership for staff development, training, and professional growth.4. Stay informed of national and state higher education issues and technological advances and embed best practices in the Records & Registration operation.5. Represent and serve the college in professional organizations and committees.6. Work with college stakeholders with catalog development, course scheduling, and academic calendars.7. Develop and manage budgets related to Records and Registration.

Process, Policy, Regulations & Compliance -


1. Interpret and enforce academic policies and state/federal regulations.2. Shape academic standards within record and registration services.3. Ensure compliance with AACRAO standards and update policies accordingly.4. Review catalog and credit schedules for accurate communication of policies.5. Assist in developing processes for student retention and success.6. Lead compliance reporting with governmental, regulatory, and membership organization requirements and oversee changes and guide to updating policies.7. Serve as the college's FERPA Compliance Officer.Records and Registration Services -1. Maintain accurate and confidential student records; implement policies for record retention and data security.2. Oversees credit student registration, transcript evaluations, degree audit, and awarding and support continuing education course enrollment.3. Develop and implement procedures for registration and transcript evaluations.4. Resolve student disputes and chair committees directly related to the Records & Registration office.

Technology -


1. Drive strategic integration of advanced student information systems and technology for optimized registration, recordkeeping, and reporting.2. Lead collaborative efforts with Information Technology for ongoing system enhancements.3. Oversee technical configurations for seamless class registration and grade processing.4. Steer decisions on data and technology initiatives impacting systems for students.5. Curate and maintain current content on the Registrar's webpages for enhanced user accessibility.

Other Duties: Perform other duties as assigned.



Required Minimum Qualifications:

1. Bachelor's degree in Higher Education Administration, Business Administration, or related field.2. 8-10 years of experience in leadership/supervisory capacity in the college's records or registration office or related administrative role.3. Demonstrated strategic leadership, supervision, planning, and change management skills.4. Proficiency in Peoplesoft or similar enterprise student information systems.5. Strong analytical, problem-solving, and technical skills.6. Excellent communication and interpersonal skills.7. Familiarity with AACRAO best practices and commitment to their implementation.8. In-depth knowledge of state and federal regulations pertaining to enrollment reporting.


Desired Qualifications:

1. Masters degree in Higher Education Administration, Business Administration or related field.2. 5-7 years of experience (if a Master's degree is held) in leadership/supervisory capacity in college's records or registration office or related administrative role.3. Proven ability to manage complex processes and procedures with accuracy and attention to detail managing automation systems in a higher education setting.
