SCOPE OF ROLE


Reporting to the Director, Patient Services the Schedule Template Specialist (aka, Schedule Master) will support Signature Health’s goal of improving patient access by creating the strategy for building, maintaining, and monitoring clinical schedule templates. The Schedule Master will develop standards, protocols, workflows, and reports that facilitate optimal capacity according to organizational standards; in collaboration with the EHR and Education & Training Departments, they will train administrative roles to adopt these standards. The Schedule Master will be responsible for direct template build and management for a portion of Clinical Providers.


HOW YOU’LL SUCCEED:



  • Work collaboratively with clinical, patient service, EHR, and IT leaders to ensure effective clinician schedule templates that maximize access, efficiency, and positive provider and patient experience.

  • Directly participate in building schedule templates, including but not limited to new provider template build, template build in preparation for Direct Patient Scheduling, or build as part of standardization initiatives.

  • Provide in-depth support and education to practices to improve template build, scheduling, and practice management with ongoing quality assurance.

  • Work closely with operational and clinical leads to ensure the successful implementation of any changes to templates, schedules or workflows related to access or patient scheduling, including direct patient scheduling.

  • Stay abreast of industry trends and best practices, including materials from Epic and OCHIN. Offer guidance and identifies opportunities to optimize capacity according to standards.

  • Establish and implement enterprise-wide template standards and guidelines. Ensure change management plan and other communication support are in place to support successful adoption.

  • Conduct periodic specialty-wide template reviews with site managers and service line leaders to ensure templates match demand and minimize barriers to scheduling.

  • Monitor key performance indicators and implement performance improvement initiatives, as needed. Implement strategies that support service level standards and an exceptional patient experience.

  • Other duties as assigned


KNOWLEDGE & EXPERIENCE:



  • Minimum 2 years of related experience with demonstrated proficiency or understanding of building and maintaining Epic schedules.

  • Certification in Cadence by Epic within 8 months of start date.

  • Excellent organization and analytical skills, attention to detail, time management, and the ability to set priorities among multiple competing objectives, tasks, and initiatives are required.

  • Ability to communicate effectively in both oral and written form. This position requires the ability to interact positively, constructively, and effectively with professional staff, providers, and organizational stakeholders.

  • Ability to lead and mentor staff members through new and changing situations. Demonstrated professional and compassionate manner while conveying a positive image of the change.

  • Demonstrated proficiency in Microsoft Office (Word & Excel) or similar software is required and an ability and willingness to learn new systems and programs.


WORKING CONDITIONS:



  • Work is normally performed in a typical interior/office/clinical work environment.

  • While hours of operation are generally standard, flexibility to work evenings and extended hours may be required.

  • Requires periods of sitting, standing, telephone, and computer work. 

  • Hearing: adequate to hear clients or patients in person, over the telephone or through telehealth technology.

  • Speaking: adequate to speak to clients or patients in person, over the telephone or through telehealth technology.

  • Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.

  • Physical effort required: occasional lifting and carrying items weighing up to 15 pounds, unassisted.

  • Possible exposure to blood borne pathogens while performing job duties.

  • Frequent bending, reaching, and repetitive hand movements, standing, walking, squatting and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular workday.

  • Sufficient dexterity to operate a PC and other office equipment.
