Job Description Summary

The Refund Coordinator is responsible for the analysis, identification and processing of patient and insurance credit balances including management of approved refunds and adjustments.

Job Description


The Refund Coordinator:


  • The Refund Coordinator identifies, analyses and resolves patient and insurance credit balances.

  • Researches and identifies reason for the credit balance and applies the overpayment to other open balances or initiates the refund in a timely manner.

  • Receives and processes provider refunds into appropriate database after management approval.

  • Validates the accuracy of refund check details and demographics provided by the Accounts Payable system and tracks activity of checks through the refund process.

  • Researches and compiles refund documentation to be enclosed with refunds. Identifies credit trends and works collaboratively with the appropriate team to resolve.

  • Answers incoming correspondence, transmittals and phone inquiries ensuring accurate and timely resolution of outstanding credits.

  • Responds to refund requests from insurance companies in a timely manner.

  • Understands payer guidelines for overpayments.

  • Meets department goals to reduce outstanding credit balances.

  • Contacts insurance companies to verify pay to information and/or validates mail to address.

  • Performs all other duties that may be assigned in the best interest of the Shirley Ryan AbilityLab.



Reporting Relationships


  • Reports directly to the Supervisor, Cash Applications



Knowledge, Skills & Abilities Required


  • High School Diploma or GED equivalent.

  • Minimum 2 years of relevant collection experience. Ability to complete mathematical calculations in order to complete required analyses

  • Exhibits proficient written and verbal skills.

  • Excellent working knowledge and understanding of the laws governing collection practices.

  • Proven ability to work independently.

  • Must possess moderate to advanced math skills

  • Proficient in use of all Microsoft office products especially Microsoft Excel and Cerner.



Working Conditions


  • Normal office environment with little or no exposure to dust or extreme temperature.
