Our client, a leading global asset management firm headquartered in Midtown East, is looking for a Temp to Perm Admin Assistant to support 2 high-level professionals in their Government Relations group. This role starts asap with a 3-4 month temp trial period. This role is onsite Monday - Friday, 8:30am-5:30pm with a 30 min lunch break (+OT as needed). Annual base salary is 85K + discretionary bonus + benefits. The hourly pay rate while temping in-line.
The Administrative Assistant role entails providing support to a team in our Government Relations group. The responsibilities include:
Managing calendar(s) including scheduling internal and external appointments, confirming meetings, coordinating with other assistants
Answering calls and acting as a gatekeeper
Acting as back-up support for other senior professionals
Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor's system
Completion of detailed corporate expenses including tracking receipts and reimbursements
Coordinating travel arrangements including flights, visas/passports, cars, hotels, and other reservations
Maintaining and organizing digital files in Box
Processing of invoices via Coupa, ensure proper expense coding
Assist with a variety of bespoke projects, including event planning, strategic operations, and process improvement initiatives
Qualifications:

The successful candidate must have:
5+ years of administrative assistant experience supporting a team of 2 or more
Strong communication skills; high EQ
Highly organized with strong attention to detail
Ability to multi-task and prioritize competing tasks and deadlines
Perform duties with the highest level of confidentiality and integrity
Experience with coordinating travel arrangements; familiarity with Concur is preferred
An autonomous worker with strong follow-through skills
Ability to build relationships with key players and management
Extensive familiarity with Microsoft suite
