Job Description:

Who We Are:


Environmental and Safety Systems (ESS) Department is responsible for the implementation and improvement of environmental and safety programs across the Institute.


Objectives of this Role:


  • Serve as receptionist for the Environmental and Safety Department workplace, promptly greeting and directing visitors to staff, answering and transferring phone calls and emails, and sorting and delivering mail.

  • Provide general administrative support for the department to include filing, coordinating meetings and schedules, and maintaining department equipment, supplies, and shared workspaces.

  • Provide tracking and monthly reports on behalf of the department as part of regular reporting to executive management.

  • Maintain the SwRI personal protective equipment (PPE) programs such as safety shoes and prescription safety glasses.

  • Provide administrative support, resolve complex administrative issues, and handle diverse routine and non-routine tasks with minimal supervision.

  • Review and edit documents for organization and structure; manage files and folders and perform record keeping.


Daily and Monthly Responsibilities:


  • Monitor and track all injuries (Excel spreadsheet) for OSHA reporting to ensure Institute and regulatory reporting is met.

  • Assist and provide guidance to Institute staff on the Incident Reporting System.

  • Respond to potential client questionnaires and manage the 3rd-party safety auditing companies in support of SwRI projects.

  • Provide support for meetings including scheduling, managing meeting invites, taking meeting minutes, disseminating meeting agendas/minutes and updating the appropriate online home pages.

  • Assist with coordination of various Safety/Environmental Events on the SwRI Campus.

  • Initiate and process Non-labor Transfer of invoices for hazardous waste shipments.

  • Maintain databases and information systems to support radiation safety, laser safety, industrial safety and environmental management.

  • Initiate and process purchase requisitions, check requests, and various other internal Institute forms to satisfy internal procedures and requirements.


Requirements:


  • Requires a high school diploma or equivalent. Administrative and clerical courses or Associates degree is preferred.

  • 10 years: Proficiency with all MSOffice Suite products, Adobe Acrobat.

  • 6 years: Proficiency in use of office equipment such as copiers/scanners and multi-line phone systems.

  • 6 years: Ability to communicate effectively and interact well with a diverse group including all levels of internal management, staff, and clients.

  • 6 years: Must be highly organized with a meticulous attention to detail while multitasking.

  • A valid/clear driver's license is required.
