The Sr. Meeting Planning Specialist is responsible for planning and executing both virtual and in-person Medical Education programs, Physician Relations consultative events, and Clinical Research Investigator meetings from beginning to end. Exceptional attention to detail and the ability to adhere to multiple timelines and deadlines, while working within a collaborative team environment, is essential. The ideal candidate will be experienced in meeting planning, comfortable wearing multiple hats, and highly driven in this fast-paced position.

A Day in the Life

Responsibilities may include the following and other duties may be assigned.

• Plan, coordinate, and execute all aspects of Clinical Research & Medical Science (CRMS) programming, including Medical Education programs, consultative events (scientific advisory boards and think tanks), and investigator meetings from beginning to end.

• Day-to-day organization, oversight, and management of all assigned programs and meetings and other projects

• Interact appropriately with staff, clients, and vendors as necessary in the planning of programs/meetings and other projects

• Respond to all communications from clients, internal staff, and vendors in a timely manner

• Develop and maintain project timelines, internal budgets, ongoing financial reconciliations, progress reports, and responses to requests as required by the scope of the project

• Monitor all contract terms, schedule of deliverables, budgets, forecast expenses, contract-related correspondence for assigned meetings and projects

• Perform all other daily actions with respect to meeting and project organization as directed

• Identify operational challenges and determine how best to work with colleagues and clients to solve the challenges or develop alternative solutions

• Must be available for travel domestically and internationally (approximately 30-40%), some evenings and weekends

• Collaborate with Medical Education and Physician Relations functions to plan critical CRMS programs and meeting

• Provide onsite support of large programs/meetings which includes being the key point of contact at the site (hotel, training facility, congress, etc.), managing the registration for physician/HCP and Medtronic attendees, overseeing overall meeting logistics, and any required follow-up such as budget/expense reconciliation, metrics, and communications to stakeholders

Must Have: Minimum Requirements

• Bachelor's degree and a minimum of 4 years of relevant experience in the meeting planning industry, or advanced degree with a minimum of 2 years relevant experience

  • Experience working in a fast paced, global organization
  • Certified Meeting Planner (CMP)
  • Cvent knowledge and experience

• Previous experience with an association or membership organization

• Experience planning and monitoring budgets for events
