Advertised Job Summary:

Under general supervision, manages administrative, business, and/or support activities within the School of Medicine, Office of Research/Research Center for Transforming Health. Performs complex administrative, business management, and programmatic support activities including activities related to grant and contract management, procurement, supply services, travel, program support, and auxiliary services. Demonstrates commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.


Minimum Qualifications:

Bachelor's degree and no prior work experience, which may be substituted by equivalent combination of certification, training, education, and/or experience.







Preferred Qualifications:

Bachelor's degree and 4 years related experience in business management, public administration, or administrative services; or equivalency.


Knowledge/Skills/Abilities:

Knowledge of or ability to learn governmental fiscal and personnel procedures, practices and policies. Knowledge of office practices, procedures, and equipment. Ability to coordinate diverse administrative/management functions. Ability to establish effective working relationships and communicate effectively. Ability to conduct business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.


Job Duty:

Performs activities related to fiscal management, procurement, supply services, travel, and auxiliary services. Obtains and maintains purchasing and travel card to support and complete these duties. Assists the Grant Administrator with post award grants accounting, including, requisitions and purchase order, retro forms, drafting memos, account fund changes, and tracking and reminders. Assists with contracts including invoicing, and account fund changes. Assists with grant budget tracking, consults with PIs regarding the availability of funds and the preparation of funding requests.

Coordinates administrative, business management, and/or support activities for the unit. Serves as the office HR liaison coordinating with the SOMC HR Office to coordinate personnel activities. Organizes HR documentation and new hire interviews/onboarding. Serves as the PeopleSoft Time and Labor System facilitator. Serves as the office's IT and facilities liaison. Assists with program logistics, including event planning, coordinating presenters and application/grant reviewers. Assists with project tracking and timelines and scheduling for programs, collaborative projects, and grant/project consultations.
