The opportunity


As an Administrative Assistant, you will be a professional member of the HORNE Construction operations team. Together with our substantial investments in technology, knowledge, and learning resources for our accounting professionals, you will be part of the team that delivers quality services to our internal and external clients.


Your key responsibilities


As an Administrative Assistant, you will be asked to perform a variety of tasks. You will serve the practice group’s Partner team in a fast-paced, ever-evolving environment as well as serving the rest of the practice group. If you have the strong ability to multi-task, learn and adapt to different work preferences, and have strong attention to detail, this is the role for you!


Primary Responsibilities



  • Setting up new client files or rolling forward in Caseware

  • Preparing financial statements in Caseware

  • Updating/formatting financial statements

  • Proofreading and finalizing financial statements

  • Organizing and saving signed tax documents

  • General help to organize the managers and facilitate communication and meetings



  • Checking math on financial statements to ensure accuracy

  • Preparing engagement letters and other client correspondence

  • Coordinating the timely flow of processing requests from assurance staff

  • Maintaining and updating data within multiple Smartsheets

  • Ordering supplies and handling catering requests and setup of meetings

  • Submitting vendor invoices through accounts payable system

  • Assisting with client billing and invoices



  • Other administrative duties as requested


 


Education and Preferred Experience



  • University degree and/or college diploma preferred

  • 2-4 years of administrative experience

  • Must possess advanced Word, Excel, and PowerPoint skills

  • Must have strong attention to detail

  • Must be able to work with numbers, and have a basic understanding of accounting principles

  • Experience in the following software preferred: Caseware, Smartsheet, NetSuite, Data Snipper

  • Must be able to learn and adapt to new technology

  • Able to work under pressure and meet deadlines

  • Must have good interpersonal skills and able to liaise with clients, staff and outside parties

  • Available to work overtime during peak seasons
