Position Title: Education Administrative Assistant
Schedule: M-F 8am-4:30pm
Location: In-Office
Pay: $21-$23/hour
Job Duties/Description:
Review and verify completeness of applications
Coordinate application processing, including sending applications for payment and review
Send approval letters and confirm receipts of documents
Compile sign-in sheets and input data into Global Search
Maintain a spreadsheet of Continuing Education Credit (CEC) courses and providers
Assist in drafting and sending invite letters and other correspondence, following up as necessary
Enter new courses into iMIS database as required
Gather handouts from faculty and ensure they are posted on the website
Assist in scheduling recordings of educational sessions if necessary
Process evaluations, correspondence, and prepare thank-you letters, following up as needed
Obtain necessary forms from presenters
Prepare webinar scripts and course asset forms
Source and organize speaker photos
Review and test webinars before they go live, ensuring accuracy of content
Build AIKEN quizzes for educational purposes
Prepare handouts from instructor's PowerPoint presentations
Send monthly webinar emails and maintain membership lists
Review presenter PowerPoint slides for compatibility with webinar platform
Score various educational assessments such as paper-based tests and certificates
Verify certifications as needed
Requirements:
Proficiency with Microsoft Office Suite: Word, Excel, Access, PowerPoint, Outlook.
Minimum of two years administrative/clerical experience
Detail-oriented with strong organizational skills
Excellent written and verbal communication skills
Effective time management and ability to prioritize tasks
High School Diploma; Post-secondary education preferred
