Job Description:

Job Summary

The overall purpose of this position is to undertake special projects and execute the every-day business and administrative

management of Transportation Electrification Council, its initiatives & projects. Working with staff and volunteers, the individual is

responsible for the advancing the projects by managing the life-cycle of projects and providing overall coordination &

management, ensuring that key project goals are met by performing research and analysis. The individual shall ensure that there

is good coordination between project stakeholders, volunteers are engaged and make recommendations to the Executive Director

for the resolution of problems and actions to be taken.

The role typically reports to an Executive Director and managers 0 direct reports. The incumbent must have the ability to take lead

and work with minimal supervision. The incumbent is also expected to make recommendations that impact procedures in

accordance with IEEE and TEC policy, procedures, precedent and guidelines

Key Responsibilities


  • Project & Logistics Management

  • Defines the scope of the project in collaboration with senior management (Executive Director)

  • Creates a detailed work plan which identifies and sequences the activities needed to successfully complete the project

  • Determines the resources (time, money, equipment, etc.) required to complete projects

  • Develops a schedule for project completion that effectively allocates the resources to the activities

  • Reviews the project schedule with senior management and all other staff that will be affected by the project activities; revise the schedule as required

  • Writes reports on the project for management and for partners

  • Communicates with Partners as outlined in Partner agreements

  • Works with volunteers to ensure that material is generated in support of TEC Project initiatives (e.g. IEEE Smart Grid), outreach to potential partners, research of new opportunities and potential program partners, development and execution of events and program development / management.

  • Manage day to day logistics and activities of the TEC Projects in accordance with IEEE policies & procedures

  • Financial Tracking and reporting

  • Performs analysis and forecasting of revenue and expenses and report results to volunteer leadership

  • Monitors and approves all budgeted project expenditures, cash flow projections and report actual cash flow and variance to senior management on a regular basis (monthly/ bimonthly)

  • Manages all project funds according to established accounting policies and procedures

  • Ensures that all financial records for the project are up to date

  • Prepares financial reports and supporting documentation for funders as outlined in funding agreements

  • Determines the objectives and measures upon which the project will be evaluated at its competition.

  • Executes the project according to the project plan

  • Prepares financial reports and supporting documentation for partners as outlined in funding agreements.

  • Communication & Marketing

  • Develops & implements a marketing and communications strategy for assigned TEC projects & programs.

  • Provides direction and support as well as contribute to written materials positively positioning the organization and its programs, including the website and social media outlets.

  • Develops and monitors performance metrics for various marketing strategies and communications vehicles.

  • Develops forms and records to document project activities

  • Sets up files to ensure that all project information is appropriately documented and secured

  • Monitors the progress of the project and make adjustments as necessary to ensure the successful completion of the project

  • Establishes a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the project

  • Reviews the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards.

Education


  • Bachelor's degree or equivalent experience Req


Work Experience


  • 4-7 years related work experience with project management experience preferred. Req

  • Previous management-related association experience and a track record of successful project management experience Pref


Skills and Requirements


  • Ability to multi-task and comfortable working under tight deadlines on both individual and team-based projects.

  • Proven ability to manage all related contractors ensuring that all obligations, deadlines are met.

  • Familiarity with the TEC Scope of Interest, the utility industry or Smart Grid activities is desirable.

  • Ability to understand complex verbal and written user business requirements and translate those into well-written clear proposals, requirements and specifications documents & project plans.

  • Available for occasional travel to events and meetings. Estimate 4-6 times per year.

  • Proficiency with Microsoft Office Suite applications.

  • Strong skills in working with spreadsheet analysis & databases.

  • Project Management Software (i.e. MS Project)

  • Person in this position must have superior interpersonal skills, willingness to be a team player and must maintain professional demeanor in all circumstances.

  • Ability to develop functional working relationships with staff, volunteers and vendors, respond to inquiries, delegate action items and effectively lead project teams.

  • The individual must have excellent communication and motivational skills which will be used to enable and empower volunteer committee efforts in support of assigned projects.

  • Must have the ability to think critically in reviewing data & information to ensure that resources are used effectively.

  • Excellent problem solving sills are fundamental to the position. The type of problems to be solved routine or complex and sensitive. The incumbent is expected to anticipate potential blocks and research solutions when on is not readily available.

  • Must be able to negotiate with and manage vendors
