Job Description Summary

The Associate role will work directly with a fee-earner, fee-earner team, or in a specific Service Line. In this role, they will assist the team(s) by preparing written content, performing financial analysis, preparing client reports in accordance with the client requirements, and coordinating and preparing pitches/proposals with other departments. The Associate will also assist with client/prospect relationship management and communication and performing various related tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES
1) Support financial analysis, content preparation, pitch and/or proposal coordination, CRM management
2) Coordinate project deliverables and timelines, working directly with fee-earners, as needed
3) Oversee and execute client reporting requirements (Agency Leasing)


KEY RESPONSIBILITIES


Pitch and/or Proposal Coordination
o Assist with pitch and/or proposal coordination as needed
o Coordinate proposal and deal priorities, communicating priorities to team/fee-earner
o Work with Senior Project Coordinator and/or Marketing to develop written content of proposal based on direction from fee-earner as needed


Other Sales Support
o Support delivery marketing efforts, coordinating with necessary teams to gather and prepare
proposal in a project management capacity
o Support completion of offering memorandums, including compilation and coordination with Marketing, Financial Analyst(s) and Research
o Prepare or work with Financial Analyst to prepare financial analysis reports related to needs of fee-earner
o Work with Senior Associate and/or fee-earner(s) on reviews and updates to finalize the material
o Support preparation of RFP responses and competitive matrixes on behalf of fee-earners and distribute once approved
o Coordinate drafting of leases, contracts, commission agreements, co-broker agreements, including coordinating with Project/Senior Project Coordinator, fee-earner, Legal, Client, and any other party associated with project for approval and execution


Client Interaction
o Coordinate meetings with Client and fee-earner
o Communicate additional meeting needs to Project/Senior Project Coordinator and oversee their execution of catering needs, reservations, printing/copying, etc.
o Attend client meetings with fee-earner as needed
o Communicate with Client on behalf of fee-earner to request necessary information


oAssist in the scheduling of property showings and tours
o Work with property-owners or clients in scheduling tours and showings
o Perform property showings and tours on behalf of fee-earner as needed
o Prepare reporting per the client requirements
o Provide status updates to Client as appropriate


Assist CRM and Pipeline Reporting
o Manage CRM by inputting new pursuits and updating current opportunities as necessary
o Research CRM for conflicts with potential pursuits
o Work with Senior Analyst and Project/Senior Project Coordinators, as needed, on pipeline reporting


Property Level Financial Analytics
o Collaborate with Financial Analyst(s) in development of due diligence, financial analysis, and/or pulling and packaging comps
o Work with research team, as necessary, in retrieval of comps from systems
o Interpret insights from financial analysis and develop written reports for clients
o Coordinate with marketing and graphics resources in development of offer memorandums or other client deliverables
o Manage timelines and deliverables in response to client requests for analysis
o Work directly with client and fee-earners, as necessary, to capture information requested
o Develop and maintain deep understanding of market
o Coordinate go-to-market activities, if necessary


Invoice Processing/Paying and Managing Receivables
o Communicate with appropriate party any deal related expenses to ensure proper coding of expenses
o Collaborate with fee-earner and Revenue Accountant to identify and collect outstanding receivables


Maintain Databases
o Understand and collect updates for new listings, lost listings, and changes to existing listings
o Review database to ensure accuracy of team's listings
o Provide updates to Research based on activity
o Periodically review third party sites to ensure accurate and up to date information
o Work with Research team to update information, as needed
o Provide updates to third party based on open and closed opportunities/listings


Respond to Data Requests
o Review data returned from Research team in response to request from fee-earner to review for
completeness and accuracy
o Provide feedback to Research team based on needs of fee-earner


METRICS


Role will be evaluated on the following:
o Accuracy of information
o Timeliness of information
o Win/Loss ratio
o Gross production of team supported
o 360 Review Feedback, including direct and indirect associations
o Client feedback


BACKGROUND AND EXPERIENCE


Demonstrated experience should include:
o Bachelor's Degree in Business, Accounting, or Finance
o 3+ years of experience Commercial Real Estate or Finance in a related field
o Knowledge of Microsoft Office and Argus
o Knowledge of Salesforce a plus
o Knowledge of CoStar and other related CRE listing software a plus

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $45000 - $75000
