Employees who have completed a minimum of one year in this position may be eligible to transition to another department within the company based on performance and available opportunities. Responsibilities:
Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image; provides reception coverage when receptionist is out
Maintains office services by organizing office operations and procedures
Monitors and maintains office supplies inventory and reviews and approves office supply purchases.
Liaison for building maintenance and ensures proper function of office copy machines, printers, and postage machine; submits maintenance requests to building management
Manages mailroom and receptionist function and supervises receptionist and administrative staff
Manages day to day tasks to ensure that office supplies are ordered, all office common areas are kept tidy and assist reception team with maintaining schedule for meeting rooms
Assists operations leadership to approve related expenses and invoices
Supports VP of Corporate Operations & Real Estate in arranging company events for US offices, the company travel program, and other related tasks
Create decks and organize information, related to various office services projects
Manages office floor plan software and oversees employee seating in various office locations
Participates as needed in special department projects or as assigned by Management
Creates a positive, collaborative, teamwork environment based on the company culture and values
Assist management with day-to-day administrative needs, as needed
Requirements
Bachelor's degree or equivalent experience
Minimum two (2) years of previous experience in office management
Working knowledge of mail processes such as postage machine, Federal Express and UPS
High energy level, comfortable performing multifaceted projects in conjunction with day-to-day duties
Excellent phone and interpersonal skills; professional appearance and demeanor
Resourceful, well organized, highly dependable, efficient and detail oriented
Ability to work independently on assigned tasks as well as to accept direction on given assignments
Strong oral and written communication skills
Ability to manage staff, be a team player, tactful and diplomatic
Proficient in Microsoft Office Suite
Benefits Base salary range: $52,000 - $60,000 plus bonus potential if applicable for role.
Actual base salary is dependent on several factors including but not limited to; market dynamics, location and region, experience, specialized skills/training (education), level of responsibility, budgetary considerations, tenure at the company (for current employees), etc. The salary range listed is just one component of the total compensation package for employees. Compensation decisions are dependent on circumstances of each role
