JOB TITLE: Production Coordinator, Experiential

POSITION: Full-Time

Applicants for this role must have live event production experience and be willing/able to work from our office in Santa Monica, CA.

Summary of Position:

The Experiential Coordinator is a two-pronged role, working on internal and external client projects. The PC will support the Production and Client Services department on a variety of individual experiential projects including brand activations, special events, trade show exhibits, and more. The PC will also work with Mirrored Media leadership to organize and track agency and project files, schedule and memorialize meetings, and other general operational and administrative tasks. The ideal candidate for this position has exceptional organizational skills with the ability to multitask.. Sound judgment, common sense, and the desire for consistent learning and growth are crucial traits of a successful Production Coordinator.

Job Responsibilities:

Client Projects:
  • Organize project files and folders, update project templates and matrices, and help prepare / collate project documents including production schedules, pre-production books, and supply lists
  • Schedule team meetings and manage internal project review calendar, take meeting notes and distribute internal recaps
  • Coordinate vendors: initial research, gather and track documents and agreements, and liaise with vendors on-site
  • Support project production teams as needed; this role has room to grow into specific project specialties or interests
  • Manage PA's and other event staff during project prep and onsite phases

Internal Projects and Ad Hoc Duties:
  • Manage and update internal company resources including departmental templates, trackers and documents (e.g., onboarding decks, process & policy docs, office tracking documents, etc.)
  • Build vendor relationships, schedule capes meetings, and own the MM vendor database
  • Project management for new client RFPs including supporting on the creation of internal project timelines, filing and distributing materials, creating, managing and archiving project Slack channels, and tracking internal deliverables
  • Manage Interns, PA's and other MM crew overseeing internal/office projects, storage, and special projects
  • Other responsibilities and administrative Ad Hoc duties as assigned by leadership or managers

Requirements:
  • 1 or more years of experiential production experience in an agency setting
  • Strong attention to detail and an obsession with organization
  • Self starter with the ability to juggle multiple concurrent projects and tasks as once and completing work within tight and ambiguous timelines
  • Creative problem solving, supported by sound judgment and common sense
  • Desire to learn and grow a career within experiential marketing in a creative agency setting
  • Strong communication skills (written and verbal) and ability to build and maintain relationships with external partners, colleagues, senior management and executives
  • Excellent computer skills including Microsoft, Apple, and Google applications (Expert level spreadsheets are a must)
  • Must have a reliable personal car and be able to conduct runs as directed
  • Must be able to work at a computer in an office setting, and remain in a stationary position 50% - 100% of the time.
  • Must be able to work nights and weekends occasionally, and travel domestically and internationally as work requires
  • Must be able to lift up to 35 pounds frequently, and up to 50 pounds occasionally
  • Must be able to work on projects onsite; often working outdoors, late hours, occasionally ascending/descending ladders and trucks, constantly walking up and down stairs, and often walking in excess of 20,000 steps per day
  • This job has a hybrid in-office and remote work schedule, based out of our Santa Monica office; candidate must be local
