We are seeking an organized and proactive Administrative Assistant to provide comprehensive support to the Behavioral Health Services President and Medical Director. You will play a key role in coordinating communication, and maintaining a streamlined office environment, contributing directly to the success of the department.
Responsibilities:
Executive Support:
Manage calendars and schedules, coordinating meetings and appointments.
Compose correspondence and prepare reports for executives.
Handle phone calls and inquiries, acting as a point of contact for the department.
Liaise with other departments and external stakeholders.
Office Management:
Develop and implement efficient office procedures and processes.
Maintain accurate records and filing systems, including digital and physical documents.
Order and manage office supplies and equipment.
Coordinate travel arrangements and event logistics.
Project Support:
Assist with training, and team meetings.
Provide reporting and MOR preparation support to the Senior Leadership team.
Support interview processes and candidate onboarding.
Communication and Collaboration:
Represent the Service Line President and BHS Senior Leadership team professionally.
Act as a liaison between BHS Senior Leadership, Division Vice Presidents, and Market Leaders.
Maintain clear and effective communication with all team members.
Additional Duties:
Assist with editing and maintaining BHS-related materials.
Support the field team with daily needs.
Attend meetings and take notes as required.
Participate in professional development opportunities.
Qualifications:
Bachelor's degree in Business Administration or a related field, or equivalent experience.
Strong organizational, communication, and interpersonal skills.
Excellent written and verbal communication skills across all levels.
Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint, Visio).
