A recognized law firm in California is currently seeking a new Administrative Assistant to join their Litigation team in San Diego. In this role, the Litigation Administrative Assistant will be responsible for providing high-level legal & office support to Partners, Associates, and Paralegals.
Responsibilities: The Litigation Administrative Assistant will:
Prepare, revise, and finalize correspondence, pleadings, documents, and other clerical assignments as delegated
Maintain attorney calendars, make travel arrangements, and process monthly expense reports
Run conflict checks and open new client/matter engagements
Maintain electronic and paper client files and set-up billing requirements for clients. You will enter attorney time in time entry system
File documents with appropriate courts, including e-filings, schedule depositions and other client meetings, communicate with clients as necessary
Assist with billing/client invoices and maintain and update contacts
Perform other duties, as needed
Qualifications:
2+ years of recent State & Federal Litigation experience within a Law firm
Associate's and/or Bachelor's Degree
Knowledge of Legal terminology
Experience with basic Administrative functions
Computer savvy (65+ wpm)
Microsoft Office proficient
Solid problem solving and time management skills
Exceptional phone etiquette
Great interpersonal skills
Excellent communication skills (written and verbal)
Strong attention to detail
Highly organized
Desired Skills:
Previous experience in a Litigation role/setting
Experience with a Document Management system, Docketing system, and/or Billing & Time Entry programs
