We are seeking a full-time hands-on Administrative & Customer Support Leaderto manage the day-to-day Customer Service, AP/AR, and other Administrative needs of the company.

Specific Duties

Customer Service:
  • Order receipt / entry / packing slips / related customer correspondence
  • Access customer portals for maintenance & Communications
  • Manage Order changes
  • Follow up on customer requests for information, etc.
  • Complete new item forms / Customer Set Up

Promotional Activity:
  • Verify supporting documentation for promotional activity

Accounts Receivable:
  • Create invoices / Follow up on past due
  • Process new customer applications
  • Record receipts
  • Verify and clear or dispute Deductions

Accounts Payable:
  • Report inbound PO's to warehouses
  • Invoice Matching
  • Coordinate any adjustments O/S/D, or Other.

Freight:
  • Coordinate Out-bound / In-bound freight with Broker / Carrier
  • Follow Up / Coordinate special situations

Consumer:
  • Consumer complaint follow up / resolution
  • Web-Site inquiry follow up.

Data Management:
  • Maintenance of various portals GS1, EDI, and other Industry Data Warehouses
  • Maintain / update customer facing product specifications
  • Maintain Internal Specifications folders / data

Reporting:
  • Generate various weekly reports in Excel from QuickBooks and customer data.

Other:
  • Post Office / Bank / Local errands
  • Office / Breakroom supply Inventory
  • Coordination with IT Provider / local vendors
  • WPC/JJ is a small business and other duties may be assigned as necessary

Qualifications

Experience / Education
  • Minimum of a 2-year college degree (4-year degree preferred), in a related field of study.
  • Prior relevant experience is preferred, and can take precedence over formal education
  • Knowledgeable / Experienced with QuickBooks
  • Demonstrated understanding of accounting principles, data integrity, and business processes.

Skills / Personal Attributes
  • Excellent verbal and written communication skills
  • Excellent organization and interpersonal skills
  • High attention to detail
  • QuickBooks, Microsoft Excel and other related programs.
  • Various customer portals, EDI, and related.
  • Adheres to highest standards of integrity, honesty and ethical values

Language and Technical Skills requirement
  • Valid State Driver's license.

Reasoning Ability

Near acuity and accommodation is required for reading literature, reports, and computer screen.
  • Ability to communicate well in written and oral reports. Good phone skills.
  • Must be able to perform normal mathematical skills. Addition, subtraction, multiplication, division.
  • Detail oriented and able to read, understand and execute instructions. Ability to think logically, unemotionally and quickly to take appropriate actions needed to correct impromptu situations. Must be observant and aware of surroundings and be able to transfer accumulated knowledge to differing situations.
